The majority of this position is to be an accommodating hand to the billing portion for the service-related section. Alongside working with the dispatcher, service assistant, management, technicians, and others to create a steady, stress-free work environment.Responsibilities:Maintiain Service billingCustomer support Draft correspondences and other formal documentsPlan and schedule appointments and eventsAnswer inbound telephone callsMaintain Technician GrowthGrow Service salesQualifications:Previous experience in office administration or other related fieldsCommercial HVAC service experience in order to give technical supportAbility to prioritize and multitaskExcellent written and verbal communication skillsStrong attention to detail Strong organizational skillsIdeal Candidate: Must have experience with working in the commercial HVAC industry, preferably 5+ years. Able to work with a service dispatch software Have proficient skills in Microsoft Word, Excel, and outlook. Strong work ethic and good attendance. Having prior billing experience is a plus.Billing:The billing section is the top priority of this position. You must be able to: Understand and complete the billing of service calls. Known knowledge of the process of service work orders with correct information. Understand today’s pricing structure of HVAC Commercial Industry.Working with Technicians: Being able to answer any technical questions that the technicians have come across and coming up with a recommendation, solution, or strategy that happens on the job in order to achieve the best possible outcome for the customer. Reaching out to the technician for any verification that is needed for a ongoing work order, get the answer to questions that a customer might have, have all correct equipment/parts information with price and availability either through a quote from vendor or a direct email from technician if they called.Assisting Office Space: To help Dispatch with any technical questions. Answering any incoming phone calls and directing them to the right personnel. Creating and assisting with quotes from the recommendations made by the technician with dispatch. Checking our Service Email and to respond accordingly, either to right personal or to notify dispatch. Being able to cover certain positions like Service Assistant or Dispatch in cases that they are not in office. To be able to handle any requests or instructions from supervisors.
