Executive Assistant

A global technology and manufacturing company is seeking a highly professional, detail-oriented, and proactive Executive Assistant to support its Chief Executive Officer. This position offers the opportunity to work directly with senior leadership in a fast-paced international environment, managing executive priorities, communications, and strategic administrative functions. Key ResponsibilitiesExecutive Support & Calendar Management Manage the CEO's complex calendar, including meetings, appointments, business engagements, and travel schedules. Coordinate domestic and international travel arrangements, itineraries, accommodations, and logistics. Anticipate scheduling conflicts and proactively manage priorities. Provide daily reminders and ensure the CEO is prepared for upcoming commitments. Communication & Meeting Coordination Serve as a key point of contact on behalf of the CEO. Screen and manage phone calls, emails, and executive correspondence. Draft, review, and distribute communications, presentations, reports, and other business documents. Attend meetings when required, take detailed notes, prepare meeting minutes, and track follow-up actions. Administrative & Organizational Support Maintain highly organized physical and digital filing systems for executive documentation. Prepare reports, presentations, and executive-level materials. Manage office supplies and administrative requirements for the CEO's office. Support the CEO with administrative and basic financial analysis tasks when needed. Stakeholder & Visitor Management Welcome and coordinate visitors, clients, executives, and business partners. Handle inquiries professionally and assist in resolving concerns when appropriate. Maintain strict confidentiality and professionalism in all interactions. Process Improvement & Follow-Up Monitor action items, projects, and executive initiatives. Follow up on preventive, corrective, and continuous improvement activities to ensure successful implementation. Support operational excellence initiatives and process improvements across the organization. Compliance & General Support Ensure adherence to company policies, procedures, and corporate standards. Perform additional duties and special projects assigned by executive leadership. Qualifications Bachelor's degree preferred. 5+ years of experience supporting C-level executives, ideally within multinational corporations. Excellent verbal and written communication skills in English and Spanish. Advanced proficiency in Microsoft Office Suite, particularly Outlook, PowerPoint, Excel, and Word. Strong organizational, planning, and multitasking abilities. Experience handling confidential and sensitive information. Ability to work independently while managing multiple priorities in a dynamic environment. Exceptional attention to detail and follow-through. Compensation & Benefits Base Salary: USD $65,000 annually. Health Insurance Reimbursement: Up to 50% reimbursement of the employee's monthly personal health insurance premium. 401(k) Retirement Plan: Eligibility after one year of employment, including a company contribution equivalent to 3% of annual base salary. Paid Time Off: 5 vacation days annually after completing one full year of employment. 5 sick days per year (non-cumulative). Medical documentation is required for sick leave usage.
