We are an aggressive, fast-growing company with a full pipeline of exciting new projects, products, and employment opportunities.The Office Administrator provides day-to-day administrative support across Shaws facilities, and is responsible for maintaining organized, professional, and efficient office environments supporting site operations, HR, and Safety teams and functions. This plays a critical role in ensuring a seamless experience for employees, visitors, and external vendor partners, contributing to a welcoming, efficient, and professional environment for all.Who You AreCustomer-service oriented with a focus on positive employee and visitor experiencesProactive and solution-orientedHighly organized and dependableAdaptable in a fast-paced manufacturing environmentAbility to manage competing priorities across multiple locationsWhat Youll DoFacility and Leadership SupportMaintain clean, organized, and fully functional office spaces across all locationsConduct routine walkthroughs to ensure conference rooms, common areas, and offices are presentable and stockedManage and track basic facility needs, including ordering office supplies and kitchen inventory & supplies for both locationsProactively report usage trends, forecasting accurate needs for inventory replenishmentBasic administrative needs by HR, QA and Plant Director, including scheduling, meeting coordination, and internal communicationsPartner with HR and site leadership on onboarding and offboarding needsSupport company events, meetings, and employee engagement activitiesHelp standardize office processes across locationsVisitor ManagementServe as the primary point of contact for all visitors, including coordination of check-in, badge issuance, and host notificationsIssue, track, and deactivate employee and visitor badgesPrepare meeting spaces, ensuring rooms are clean, stocked, and ready for meetingsSupport hosting activities such as catering, materials setup, and site readinessWhat Youll Need1-2 years of administrative, office coordination, or facilities support experience (manufacturing or multi-site environment preferred)Strong organizational and time management skills with attention to detailExcellent interpersonal and communication skillsProficiency in Microsoft Office (Outlook, Word, Excel) or similar toolsBi-lingual in English & Spanish highly preferredWhat We Need You to KnowWorking Conditions & RequirementsRegular travel between company locationsAbility to lift and move light office supplies (up to ~25 lbs)Onsite role with frequent interaction across teamsMust be able to go on manufacturing floor and be able to adhere to GMPsEqual Employment Opportunity StatementShaw Bakers, LLC is an equal opportunity employer and makes employment decisions based on business needs, job requirements, and individual qualifications.
