Job Title:                                             Student Services & Billing AssociateDepartment:                                      Student ServicesPosition Reports to:                        Director of Student ServicesSalary and FLSA Status:                 $55,000-$60,000 / FT Non-ExemptThe Student Services Accounts & Partners@3rd Associate serves as a key point of contact for students, families, faculty, and the public, responding to general inquiries and aiding with registration, billing, and class attendance.  This associate is responsible for the registration database, enrollment, billing and related tasks.  They also perform general administrative duties and work on special projects in support of the goals of the Student Services Department.Student Services DutiesProcess student enrollment, attendance, account adjustments and withdrawals/refundsGenerate billing, collection, and financial lettersServe as parent contact for billing (including enrollment/management of automatic payments)Follow up on collections Setup database (course creation, calendar prep, update offerings) for online registrationRun database queries and preliminary reports Monitor data for accuracy and tracking (data cleanup)Audit reportingAwareness of opportunities for deeper engagement for incoming and returning students Transcribe preschool contracts from School AdminParticipate in management and maintenance of financial aidPartners@3 DutiesPlace students in offerings following Open HouseInput and maintain student information in database Act as family liaison: serve as point of entry and guide families through registration casework and phone callsCoordinate efforts to more effectively engage and retain students in all stages of the programLead response and resolution to P@3 queries and issuesAdministrative Support DutiesProvide clerical and administrative office supportRelieve receptionist for breaksAct as weekend receptionistGreet and assist visitorsOpen, close and maintain reception areaDistribute studio keys and documents to faculty/staffBring mail to post office/mailboxAnswer phones, field questions, and direct callsQualificationsBachelor’s degree or relative experienceBookkeeping experience and capacity to maintain financial records Strong customer service experience and interpersonal skillsAbility to work collaboratively as part of a team, to listen to and engage people of various backgrounds and to maintain a professional demeanor at all timesExcellent organizational skills and attention to detailAbility to set priorities and manage competing demandsAbility to draft and edit correspondenceStrong computer skills including Microsoft OfficeORGANIZATION BACKGROUND: As the nation’s longest-running community music school, Third Street Music School has been transforming lives through the arts for 132 years.
