Project Coordinator

Job DescriptionThe Project Coordinator will assist the Operations team to ensure smooth execution of projects from start to finish. They will work closely with Project Managers, subcontractors, general contractors, and vendors to ensure project success. Emphasis will be placed on administrative tasks to effectively track, report, and reduce risk for active projects while also supporting office related responsibilities.Responsibilities and Duties:Adhere to all company safety policies and procedures. Issue Requests for Quote (RFQ) and Purchase Orders. Calculate and recommend cost benefits of alternate sources to supply and procure materials. Review project progress with Project Manager to accurately calculate monthly billings. Facilitate documentation requirements to onboard subcontractors (COI, W-9, Lien Waivers, closeouts, etc.)Construction contract review from general contractors. Working with the Controller, create and submit for approval monthly SOV’s (Schedule of Values) for progress billings. Optimize in-house inventory levels through proper planning and purchasing practices. Prepare and document material transfers. Manage all aspects of receiving and staging parts for designated projects and/or Project Managers. Works with internal and external stakeholders to resolve shipping, receiving, and inventory inaccuracies. Coordinate the pick-up, sign out, and release of materials to project or service teams. Generate new hire paperwork for subcontractor management, including subcontract agreements. Produce and submit Premise One COI or W-9 documents for general contractor onboarding. Work with Operations team to ensure project deadlines are being met, assisting in, and producing weekly project schedules for clients. Other duties as assigned. Qualifications:Providing accurate timesheets daily to include job numbers and location. Maintain an understanding of in-house inventory and company supply kits. Report all accidents, incidents, injuries, and other pertinent information. 2+ years of relevant experience in administrative/project coordinator support role. Microsoft Office experience (specifically Excel, Word, and PowerPoint) MS Project a plus. Experience in QuickBooks, DocuSign, and Smartsheet is desired. Excellent communication and organizational skills. Detail-orientedCustomer-focusedAbility to follow all company policies. Ability to work well in a team setting. High school diploma or equivalent. Requirements:Must be willing to work overtime, as needed. Must be willing to work weekends, as needed. Must be willing to work out of town up to 25% of the time, as needed. Competent ability to compute rate, ratio, and percent and to draw and interpret bar graphs.Reasoning Ability: Competent ability to define problems, collect data, establish facts, and draw valid conclusions in situations where only limited standardizations exists.Certificates, Licenses, Registrations: Driving is a requirement for this position therefore A valid driver's license is required.
