Description COUNTY OF GREENE POSTED DATE: 05/21/2026 CLOSING DATE: 5/29/2026 POSITION: 2nd Deputy Register of Wills & Recorder of Deeds DEPARTMENT: Register & Recorder SALARY: SEIU PG 7 ($14.17/HOUR) HOURS: Monday to Friday (1 Hour Unpaid) Lunch) Full-Time hours per week 35 hours BENEFITS: Health, Vision & Dental - First of month following date of hire All Other Benefits - After 90-day probationary period Excellent Time-Off Benefits OVERALL OBJECTIVE OF JOB: Oversees and performs specialized clerical work in the probating of wills, processing of deeds and leases, and related legal documents; does related work as required. DISSTINGUISHING FEATURES OF THE CLASS: This single position class reviews wills, deeds, letters of administration, and related legal documents for proper legal forms and authenticity. The work also involves the supervision of other clerical employees. The work is performed under the general supervision of the Register & Recorder, an elected official. ESSENTIAL FUNCTIONS OF JOB: Assist 1st Deputy Recorder of Deeds Assist 1st Deputy Register of Wills Take in for recording all instruments. Be familiar with recording requirements. Be able to record all instruments through the fee station on the computer. Be able to scan all instruments and index then on the computer. Be familiar with all aspects of the office to be able to fill in for different departments. Do proofing of instruments when someone else indexes them. Make quarterly office orders. Sheriff's Sale Research Responsible for mailing documents/sending out notifications for pickup. Wait on customers. Be familiar with accounting, to be able to close out cash drawer at the end of the day. Manage and bill the copy accounts in the office. Attends meetings or training sessions as necessary. Assists in training of new staff. WORKING CONDITIONS: Work indoors with limited work space, adequate lighting and ventilation, and fluctuation in temperatures; exposure to noise, disruptions, and stress. Normal indoor exposure to dust/dirt. PHYSICAL AND MENTAL REQUIREMENTS: Must have the ability to record, convey, and present information, explain procedures, and follow instructions. Must be able to sit for long periods of time with frequent periods of standing, walking and occasional twisting, reaching, pulling and pushing required for obtaining files, doing inspections or other job duties. Dexterity requirements range from simple to complex movements of fingers/hands, legs/feet, or torso to carry out job duties. Sedentary work with occasional lifting, 15-20 pounds. Must demonstrate emotional stability. Ability to cope with physical and mental stress of the position. Must be able to pay close attention to detail and concentrate on work. REQUIRED KNOWLEDGE, SKILLS AND ABILITIES: Good knowledge of the legal requirements and procedures concerning probation wills and issuing letters of administration; ability to supervise the work of other employees; typing skills, ability to review documents and instruments submitted and determine their authenticity and proper legal form; ability to work effectively with beneficiaries, attorneys and general public. KNOWLEDGE, SKILLS AND ABILITIES REQUIRED: Must be able to speak and understand the English language in an understandable manner in order to carry out essential functions of the job. Must possess good communication and interpersonal skills. Must possess ability to function independently, have flexibility and the ability to work effectively with co-workers and the general public. Must possess ability to maintain confidentiality in regard to County information and records. Must possess the technical knowledge of operating personal computers and software and other office equipment with accuracy and reasonable speed. Must possess knowledge of modern office practices and procedures and the ability to perform same in an efficient manner. Must possess mental alertness, clerical and math aptitude and a general knowledge of business English and grammar and the ability to perform these skills with accuracy and with reasonable speed. Must possess the ability to work independently on complex clerical tasks. Must possess the ability to compose replies to routine correspondence. Must possess ability to meet and interact effectively with co-workers and the general public, and to respond accurately to routine questions/inquiries regarding department operations and procedures. Must be able to comprehend and interpret legal documents and to perform legal research.
