Job TypeFull-timeDescriptionProject CoordinatorThe Project Coordinator supports project managers and senior management in all aspects of project execution, including planning and coordination of technical, business, and administrative activities. This role works closely with the Project Manager to help ensure successful completion of projects within the required schedule, approved budget, and contract terms.Duties And Responsibilities (Essential Job Functions)Create project startup checklists, schedule kickoff meetings, and follow up on deliverablesSet up file structure in company systems for project useEstablish and maintain project tracking systemsAssist in creating, editing, and tracking project documentationReview project specifications to create and maintain submittal registers; coordinate with the Project Manager or Quality Control Manager for clarificationPrepare and/or coordinate pre-construction submittals including but not limited to:Quality Control PlanAccident Prevention PlanDemolition PlanEnvironmental Protection PlanWaste Management PlanGenerate and track project submittals and route to Quality Control Manager for reviewSupport the project team with documentation and reporting needsAssist in drafting subcontracts for Project Manager reviewFollow up with vendors and subcontractors to ensure timely delivery of project requirements, including documentation and closeout deliverablesAssist in entering budgets and approved changes into accounting systemsCreate and track RFIs (Requests for Information)Process and track client change ordersHelp prepare project closeout packages and ensure contract complianceCompile information for project summary documentation with the Proposal TeamAssist in preparing DD1354 forms for client review prior to project turnoverPerform other duties as assignedRequirementsEducation and ExperienceBachelor’s degree in Construction Management, Engineering, or related field, with 1–2 years of relevant experience; orAssociate’s degree in the same fields with 3–4 years of experience; orHigh school diploma and at least 6 years of related experienceKnowledge, Skills, And AbilitiesStrong organizational, prioritization, and planning skillsAbility to take ownership of responsibilities and work effectively with othersProfessional written and verbal communication skillsStrong interpersonal and coordination skillsFamiliarity with construction or related technologies, project planning, document reading, and proceduresProficient in Microsoft Office applicationsCapable of working independently with minimal supervisionSupervisory ResponsibilitiesReports to the Director of Project Controls Working ConditionsLight physical effort; may involve lifting/moving light material Regularly required to sit or stand, bend, and reachMay involve travel for site visits and business needsMust have a valid driver’s license and be insurable under company policy
