This role involves significant client-facing interactions, effective management of administrative tasks, and ensuring efficient operations within the office. The CSA will complete all administrative tasks, projects, and responsibilities (listed below) in a consistent and unwaveringly professional manner, meeting firm-wide expectations for each individual item, such as desired formatting, end-result product outcomes, "by-whens", time budget for completion, and any other pertinent requirements. The omission of specific duties does not exclude them if the work is similar, related, or a logical assignment to the position.General office duties such as managing phones, managing emails, and handling correspondenceSchedule and coordinate meetings and appointmentsPreparation of client and CNCFG deliverables such as proposals, presentations, reports, and spreadsheetsAttend all department meetingsKey communication with external sources (clients, attorneys, banks, etc.)Identify opportunities to improve processes and create efficienciesPrioritize workflow and deadlines, while practicing good time and project management skillsGenerate letters, memos, and emails as requestedProofread and ensure accuracy of all productsInteract professionally with internal and external clients and prospects; handle inquiries effectively and in an organized and courteous mannerResolve customer service issuesReview time-sensitive and/or complex documentsSet up new accounts and process account information changesProcess distributions and transaction requests, reconcile transactionsMaintain notes in Redtail CRM for activities performedMonitor and update tasks in CRM softwareCompliance with company policies, procedures, and regulatory requirementsHandle sensitive and confidential information with discretion and integritySupport special projects and initiatives within the Financial Services and Tax departmentsMaintain multiple complex broker dealer and vendor platforms, portals, and systemsAny variety of operational tasks for complex securities- or cash-related transactions or processes that require extensive knowledge of departmental functions and systemsAdhere to staff-specific office hours (staggered arrival, break, lunch, and departure times, and any deviation of schedules due to vacation, illness, or emergency), that guarantee administrative coverage of CNCFGPreferred Skills:Highest level skills in Microsoft Office Suite, specifically ExcelCritical thinking skills, good judgment, and effective problem-solving abilitiesExcellent organizational, prioritization, and multitasking abilitiesStrong communication and interpersonal skillsAttention to details and accuracyAbility to work independently and as part of a teamAbility to prioritize tasks and manage time effectivelyGuides and develops junior CSA's through hands on leadership, training, and mentorship Ability to apply advanced expertise in trading operations, CRM systems, data analysis and ACATS retirement accounts. Qualifications and Education Requirements:Bachelor's degree or higher in Business Administration, Accounting, or related field preferredMinimum 7 years administrative experience, preferably in an accounting or financial services settingSolid knowledge of CRM softwareCurrent FINRA Series 7 and Series 66 LicenseSupervisor Responsibilities:This position does not have any supervisory responsibilities.Working Conditions:Typical office environment with standard office hours.
