Women's Apparel Production & Sample Coordinator

About the Role The Production & Sample Coordinator plays a critical role in managing costing, production updates, sample tracking, and cross-department communication. This position works closely with factories, sales reps, and internal teams to ensure product moves smoothly from development to shipment. Key Responsibilities Costing & Production Management Send and follow up on cost requests with factories Update cost sheets with factory pricing Enter and update styles in N41 system Maintain and update confirmed costs for released POs Coordinate with sales reps regarding fabric information and production needs Sample Coordination Process samples for internal and customer review Upload sample photos to shared drives and maintain organization Ship TOP and photoshoot samples and provide tracking details Track outbound and returned samples in the Sample Send Out Tracker Take and archive photos of shipped and returned samples Systems & Tracking Maintain shared docs & tracker Update FedEx / UPS tracking lists Ensure all production and sample data is accurate and up to date Product Support Assist with artwork recolors and updates as needed Support cross-functional communication between production, sales, and design What We’re Looking For 1–3 years of experience in apparel production, development, or sample coordination Experience with N41 or similar ERP system preferred Strong Excel/Google Sheets skills Highly organized with strong attention to detail Comfortable working in a fast-paced, deadline-driven environment Strong communication skills and team-first mentality Ability to juggle multiple tasks without dropping the ball Who You Are Proactive and solution-oriented Not afraid to follow up Thrive in a collaborative, small-team environment Excited about fast fashion and product development Take ownership of your work Why Join Dee Elly?
