Court Clerk II - Clerk of Superior Court (Prescott)
Clerk Of Superior Court Under general supervision, performs specialized work of moderate difficulty in case processing and legal clerical duties for the Clerk of Superior Court. Major duties, responsibilities include: Creating new case files, generating notices, forwarding file information to appropriate division; receiving, labeling, processing, storing, packaging, tracking, disposing, releasing, and routing exhibits and classified material; generating notices for appeals; preparing the record on appeal and transmitting same to the Court of Appeals; docketing, scanning, and updating cases in the case management system; preparing Division reassignments. Working with parties in person, in writing and/or on the phone; providing information and assistance to the public without giving legal advice; responding to inquiries from court personnel, judges, attorneys, and the public; answering calls; determining the caller's need; forwarding/transferring or taking messages. Providing clerical support and assistance as required. Working with and assisting staff; revising and/or sending correspondence; picking up, delivering, opening, and distributing mail; making photocopies, scanning documents, operating the fax machine, and providing other office and customer services support and assistance as required. Accepting and receiving monies paid as fines, fees, bonds, and other financial obligations; issuing receipts; and updating electronic and/or manual records. Verifying, entering, retrieving, correcting, and updating data in the court management system; retrieving files and documents. Receiving and processing court-related documents over the counter and electronically through e-filing. Issuing warrants and process applications for bail bond agents. Performing other job-related duties as assigned. Minimum qualifications include: Education: High school diploma or equivalent. Experience: A minimum of three (3) years of general office, administrative or clerical experience. Additional Requirements: Must possess a valid Arizona driver's license. Other skills required include: Knowledge of:Arizona Code of Conduct for Judicial Employees and Clerk of Court and Yavapai County policies. Business English, spelling, grammar, punctuation, and composition. Clerical office practices and procedures. Current Microsoft Office software. Filing and recordkeeping. Skill in:Time management. Communicating effectively and professionally, both verbally and in writing, including in a face-to-face setting by telephone and/or any form of written communication, with public and employees. Establishing and maintaining effective working relationships with employees, other agencies, and the public. Organization and adherence to detail. Ability to:Complete detailed work accurately and in compliance with department standards. Maintain confidentiality. Adhere to the Arizona Code of Conduct for Judicial Employees, as well as Clerk of Court and Yavapai County policies. Type at the minimum speed of forty (40) WPM. Work under pressure in a dynamic environment with changing demands and priorities. Develop and maintain effective working relationships with associates, employees of other departments, representatives of other organizations, County officials, and the public. Keep management informed of key operating issues affecting the department. Remain current in knowledge required to perform assigned duties. Handle confidential matters and maintain discretion always. Work professionally and effectively with co-workers, parties, victims of crime, witnesses, and the general public. Act with courtesy, tact, and diplomacy. Work Environment: The work environment is associated with an office. The work area is adequately lighted, heated or cooled and ventilated. Physical Requirements: Ability to sit or stand for extended periods of time. Sufficient vision to read printed materials and a computer screen; hearing and speech ability to communicate effectively in-person, in writing and telephonically. Capable of frequent repetitive movement of arms, fingers, and wrists. Ability to lift up to 30 pounds.
