Senior Administrative Assistant
Location Designation: Hybrid - 3 days per weekRole OverviewAt New York Life, Agency is the distribution engine of the Foundational Business, built on a career agency model that recruits, develops, and supports more than 12,000 agents. Agency leadership drives field performance and development across 100+ General Offices.The Senior Administrative Assistant will provide comprehensive administrative support to several VPs in Agency, as well as assist with departmental engagement initiatives and other administrative duties as needed. This role requires excellent organizational and communications skills, strong attention to detail, discretion in handling confidential information, well developed customer service acumen and the ability to multitask and meet demanding deadlines.What You'll DoServe as a primary point of contact by answering calls, assisting with inquiries, and routing messages as neededProvide day-to-day administrative support to the Vice President, including managing emails and maintaining organized files and recordsManage and coordinate the VP’s calendar, scheduling meetings and helping to prioritize commitmentsArrange domestic and international travel, including itineraries and logisticsPrepare, reconcile, and submit travel and business expenses accurately and on time, along with other expense support as neededCoordinate meetings and events by scheduling, reserving rooms, setting up Teams or video calls, ordering meals, and preparing materialsMaintain organized recordkeeping and file management, including document creation, storage, and dispositionTrack and follow up on requests or inquiries to ensure timely and thorough resolutionUse Microsoft Office tools (Outlook, Teams, Word, Excel, PowerPoint; Access a plus) and leverage AI (ChatGPT, Copilot) to support daily work and team efficiencyWhat You'll BringDegree preferred or work experiencePrevious experience in Financial Services is requiredFamiliar with the infrastructure of the Foundational Business and can route inquiries to the right place quickly within and outside of the divisionKnows Company policies and procedures and can resolve routine inquiries for staff quickly and correctlyDemonstrates a strong sense of urgencyPossesses a clear understanding of prioritiesGood oral and written communication skillsMust be discreet in handling confidential informationMust be a team playerPay TransparencySalary Range: $60,500-$86,000Overtime eligible: NonexemptDiscretionary bonus eligible: YesSales bonus eligible: NoActual base salary will be determined based on several factors but not limited to individual’s experience, skills, qualifications, and job location. Additionally, employees are eligible for an annual discretionary bonus.
