Job Description TITLE: Resource Development Events and Data CoordinatorREPORTS TO: Development DirectorCLASSIFIED: Full Time, Non-ExemptLOCATION: BrookingsMISSION: To inspire and enable all young people, especially those who need us most, to realize their full potential as productive, responsible and caring citizens.JOB SUMMARY: The Resource Development Events & Data Coordinator provides critical administrative and operational support to the Resource Development team at the Boys & Girls Club of the Northern Plains. This role supports donor data management, recordkeeping, communications, fundraising operations, and the coordination of events across multiple Club sites. This position plays a key role in maintaining accurate donor records, supporting stewardship efforts, and leading the planning and execution of signature events that advance the organization's mission. It is ideal for a detail-oriented and organized professional who enjoys collaboration, event planning, and supporting relationship-based fundraising. In this role, you will directly support the fundraising and stewardship efforts that make our mission possible—while also leading meaningful events that engage donors, celebrate youth, and strengthen our communities.KEY RESPONSIBILITIES:Donor Records & Data ManagementMaintain accurate donor and pledge records within the CRM system (My ClubHub), including data entry, updates, reporting, and data cleanupTrack donations, pledges, campaign activity, and stewardship actionsSupport recordkeeping for donor stewardship plans and the resource development calendarEnsure donor data integrity and adherence to internal data standardsDonor Communications & AcknowledgementsPrepare and process donor thank-you letters, pledge confirmations, and acknowledgment communicationsAssist with donor solicitation letters and pledge requestsCoordinate donor and development-related mailingsSupport donor recognition efforts, including spotlights and stewardship communicationsFundraising, Raffles & Special EventsServe as the lead coordinator for Club special events, including the annual raffle, gala, Youth of the Year event, and other fundraising or community eventsPlan, organize, and execute all aspects of events, including timelines, logistics, vendor coordination, and on-site supportProvide administrative and logistical support for fundraising campaigns and initiativesAssist with preparation, tracking, and follow-up for fundraising activitiesSupport stewardship plans for individual donors and corporate partnersMarketing & Communications SupportCollaborate with the marketing team to provide accurate donor data and content for newsletters and reportsAssist in the development of quarterly newsletters, donor spotlights, and development updatesHelp manage timelines and materials aligned with the resource development calendarSupport promotion and communication efforts related to special eventsGeneral Administrative SupportProvide scheduling, coordination, and project support to the Regional Director(s) of Development, Administrative Team, and CEOAssist with internal reporting, documentation, and data requests related to fundraising and developmentPerform additional administrative and development-related duties as assignedEMPLOYMENT QUALIFICATIONS:QualificationsHigh school diploma required; associate degree or relevant coursework in business, communications, nonprofit management, or related field preferredStrong organizational skills with exceptional attention to detailExperience working with databases, spreadsheets, and donor management systems preferredProficiency in Microsoft Office (Word, Excel, Outlook)Strong written and verbal communication skillsAbility to handle confidential information with professionalism and discretionAbility to manage multiple priorities and meet deadlinesPreferred Skills & AttributesExperience in nonprofit administration, fundraising support, or event coordinationInterest in resource development, donor relations, and community engagementStrong collaboration skills and ability to work cross-functionallyDependable, self-motivated, and highly detail-orientedAbility to manage multiple events and deadlines simultaneouslyPHYSICAL REQUIREMENTS:Must be of the mental and physical capacity to observe, interact, and communicate with youth, staff, volunteers, parents, etc., at the Club to ensure the safety of the space and others, provide guidance and reflection per the Club priority outcomes and goalsAbility to stand/sit for long periods throughout a shiftAbility to operate various types of general office equipment including PC, telephone, copier, etc.This position is considered to be safety-sensitive.The information presented indicates the general nature and level of work expected of employees in this classification.
