Job description *Position: Senior Program Coordinator* *Location: 765 Commonwealth Ave, Boston, MA 02215* *Work Arrangement: 100% On-Site* *Duration: 3+ Month Contract with Potential Extension* *Schedule: Monday–Friday | 40 Hours per Week* *Position Overview* We are seeking a highly organized and detail-oriented Senior Program Coordinator to provide comprehensive administrative and operational support to faculty members within a law school environment. The Senior Program Coordinator will support faculty teaching, research, scholarship, administrative responsibilities, and external professional activities while ensuring the smooth and efficient operation of day-to-day academic activities.The ideal candidate will have strong organizational, communication, scheduling, document management, and event coordination skills, along with the ability to manage multiple priorities in a fast-paced academic environment. *Key Responsibilities* * Provide high-level administrative and organizational support to assigned faculty members. * Support faculty activities related to teaching, research, scholarship, and professional engagements. * Manage faculty calendars, appointments, meetings, and scheduling requirements. * Coordinate domestic and international travel arrangements, including itineraries, reservations, and related logistics. * Prepare and process travel reimbursements and expense documentation in accordance with institutional policies. * Support semester start and end activities, ensuring faculty and course-related administrative needs are completed accurately and on time. * Create, update, and maintain Blackboard course websites, including uploading and organizing course materials as needed. * Assist with printing, organizing, and distributing exams while maintaining confidentiality and accuracy. * Draft, format, edit, and proofread basic correspondence, reports, presentations, and other faculty documents. * Create and maintain spreadsheets, surveys, tracking documents, and administrative records. * Assist with planning and coordinating academic events, workshops, symposia, lectures, and other programs. * Coordinate logistics for guest speakers, including scheduling, communication, travel arrangements, accommodations, and event-day support. * Assist with meeting preparation, including scheduling, agendas, materials, room arrangements, and follow-up. * Maintain organized electronic and physical files and records. * Handle confidential faculty, student, academic, and administrative information with professionalism and discretion. * Monitor deadlines and follow up on outstanding administrative tasks to ensure timely completion. * Provide administrative support for special projects and other duties as assigned. * Collaborate effectively with faculty, staff, students, speakers, vendors, and other internal and external stakeholders. *Required Qualifications* * Bachelor’s degree preferred, or equivalent combination of education and relevant administrative experience. * 3+ years of administrative, program coordination, academic administration, or related professional experience preferred. * Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously. * Excellent written and verbal communication skills. * Strong attention to detail and accuracy. * Demonstrated experience with calendar management, scheduling, document preparation, and administrative coordination. * Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. * Ability to create, edit, format, and proofread professional documents and correspondence. * Comfortable working with web-based platforms and course management systems, including Blackboard or similar systems. * Ability to coordinate events, workshops, meetings, and guest speaker engagements. * Strong customer service and interpersonal skills. * Ability to work independently while also collaborating effectively with faculty and administrative teams. * Ability to handle confidential information with discretion and professionalism. *Preferred Qualifications* * Previous experience working in a college, university, law school, or other academic environment. * Experience supporting faculty, academic departments, or professional programs. * Experience with Blackboard or other Learning Management Systems (LMS). * Experience coordinating faculty or executive travel and expense reimbursements. * Experience supporting semester start/end processes, course administration, and examination logistics. * Experience coordinating academic conferences, workshops, symposia, lectures, or guest speakers.
