Enrollment Administrative Assistant
Location: White River Junction, Vermont, 72 South Main Street
Work Hours: Monday - Friday, 8 am - 4 pm

Position Summary:
The Enrollment Administrative Assistant plays a key role in supporting the enrollment process by delivering exceptional customer service and performing a wide range of administrative tasks. This position serves as the primary point of contact for external parties, including contractual agencies, Veteran Administration, families, and vendors, ensuring timely and accurate communication. Responsibilities include managing inquiries, distributing enrollment documentation, coordinating with internal teams, and maintaining compliance with organizational policies and procedures.
Duties and Responsibilities:
Manage main email accounts for Enrollment department, routing documents as needed
Preparing and sending outgoing mailings and packages by request
Reviewing files and records to answer requests for information about timesheets, payments, budgets or other inquiries
Receiving, sorting, and distributing incoming enrollment mail
Manage incomplete Medicaid Enrollment documents received
Manage IRS mailings
Manage e-FAX queue on behalf of the Enrollment department, routing documents as needed
Provide backup with Wage Verifications
Provide backup with New Hire Department of Labor Reporting
Other duties as assigned
Qualifications:
High School Diploma
Experience in Customer Service and Clerical Duties
Effective Communication, both oral and written
Computer skills (Windows, MS Office Suite and Agency supported software); proficiency in use of email and internet
Develop and maintain positive relationships with Customers, Agencies and Employees
Attention to detail and accuracy
Ability to differentiate client programs
Strong attention to detail
Knowledge and understanding of administrative procedures
Demonstrate a professional/ respectful appearance and attitude, and represent ARIS in such a manner
Ability to handle sensitive matters with discretion and protect confidentiality
Ability to de-escalation frustrated clients
Ability to gather, analyze and process information from a variety of sources
Time management skills and the ability to prioritize work
Strong Organization and planning skills
Strong Problem-solving skills and adaptability
Ability to explain complex information to users using simple terms
Physical demands/Working Conditions:
Predominately sedentary office position with high frequency of keyboarding/computer work required.
