Secure Data Documentation Specialist

PGS Worldwide is seeking a Secure Data Documentation Specialist in Middletown, RI for a one-year contract-to-hire role supporting a leading aerospace & defense company.The Secure Data Documentation Specialist will support administrative, documentation, data transfer, and meeting coordination needs for a collaborative onsite program team. This role requires strong Microsoft Office skills, excellent writing and transcription ability, attention to detail, and the ability to handle controlled or sensitive data according to established security protocols.Required SkillsHigh school diploma or associate degree in administration.3–5 years of relevant administrative, documentation, data management, or program support experience.U.S. citizenship required.Must be eligible to undergo a background investigation.Ability to serve as a Data Transfer Agent and support secure data movement between systems.Ability to follow established protocols for handling controlled and sensitive data.Experience transcribing technical discussions and handwritten notes into polished professional documents.Strong typing speed.Strong grammar, writing, and editing skills.Ability to understand and document technical terminology.Experience attending meetings, recording minutes, tracking action items, documenting decisions, and monitoring deadlines.Ability to distribute meeting summaries to stakeholders in a timely and organized manner.Advanced Microsoft Office 365 skills, including Word, Excel, SharePoint, and Teams.Strong file organization skills for physical and digital filing systems.Ability to standardize naming conventions and folder structures.Ability to manage competing priorities in a fast-paced environment.Exceptional verbal and written communication skills in a professional or military-industrial environment.Valid driver's license and reliable transportation.Ability to work onsite in a collaborative team environment.Preferred SkillsActive DoD Secret clearance.Active DoD Top Secret clearance.Bachelor's degree.Experience with secure data transfer, controlled information handling, program documentation, meeting minutes, technical transcription, SharePoint file management, information architecture, compliance documentation, and administrative support for defense programs.What You'll DoServe as a Data Transfer Agent and support secure information movement between systems.Ensure integrity and security of controlled or sensitive information.Transcribe technical discussions and handwritten notes into clear, professional documents.Attend program meetings and record comprehensive minutes.Track meeting action items, decisions, deadlines, and follow-ups.Distribute finalized summaries to stakeholders.Maintain and audit physical and digital filing systems.Improve document retrieval by standardizing file naming conventions and folder structures.Support compliance with data handling, security, and documentation protocols.Manage competing priorities while supporting program administrative needs.Travel as needed to support off-site meetings, program reviews, or data couriering to customer locations.Work Schedule / ShiftOnsite in Middletown, RI.5/40 schedule.8:00 AM–5:00 PM.Job ID: 15037501Military veterans and transitioning military members are encouraged to apply to all PGS Worldwide positions.
