Billing & Collections Specialist

About the Role:The Credit, Collections & Invoicing Specialist is responsible for managing customer credit risk, executing timely and accurate invoicing, and driving effective collections to optimize cash flow. This role operates within a centralized shared services structure supporting a manufacturing business using QAD ERP. The position requires strong knowledge of order-to-cash processes, EDI billing, deduction management, and customer relationship management in a high-volume, multi-customer environment. The position requires a hands-on, detail-oriented finance professional who can build scalable processes, ensure financial discipline, and support data-driven operational decisions in a fast-paced manufacturing startup. Requirements:Generate accurate invoices based on customer contract terms within QAD ERP. Ensure pricing, freight, and tax data are accurate and aligned to customer contracts. Validate proper linkage between sales orders, shipping documents, and billing. Assist with revenue transaction support and reporting for month-end close. Monitor aging trends and proactively manage exposure. Partner with Sales and Commercial teams on customer risk assessment. Manage portfolio of customer accounts. Proactively contact customers regarding past due balances. Resolve disputes, short pays, pricing discrepancies, and deductions. Escalate material collection risks to Shared Services Manager. Maintain detailed notes and status updates in QAD ERP or Salesforce CRM system, as applicable. Drive reduction in DSO and past-due percentages. Assist with accurate application of customer payments. Investigate unapplied cash and misapplied payments. Reconcile AR subledger balances to customer statements. Support monthly AR aging reconciliation to the general ledger. Prepare weekly aging and collections status reports. Track deduction trends and root causes. Maintain strong internal controls over order-to-cash processes. Support internal and external audit requests. Qualifications:Associate or Bachelor's degree in Accounting, Finance, or related field preferred. Interest in or experience with AR, credit, collections, or billing within a manufacturing environment desired, but not required. Strong understanding of order-to-cash cycle in a manufacturing setting, revenue transaction flow from shipment to invoice, credit risk analysis fundamentals, deduction and chargeback management desired but not required. Strong intellectual curiosity and bias toward action; consistently investigates issues beyond the surface, defines next steps without direction, and takes ownership to resolve problems end to end. Strong follow-up discipline and persistence in collections efforts, paired with professional communication skills for customer-facing interactions. Process oriented with a strong internal control and continuous improvement mindset.
