Training Program Administrator

*Schedule:* Monday–Friday, with one weekend per month
*Anticipated Schedule:* Monday 6:30 AM–3:30 PM; Tuesday–Friday 7:00 AM–4:00 PM
*Weekend Schedule:* One Saturday/Sunday per month, typically 7:00 AM–3:30 PM, supporting Reserve Unit Training Assembly (UTA)
*Overview*
Prosource360 is seeking a highly organized and experienced *Training Program Administrator* to join our team and support a U.S. Air Force Reserve Command medical readiness training program at *Mercy Health Hospital in St. Louis, Missouri*.
This position plays a key role in coordinating and administering a comprehensive medical readiness training program that provides Air Force Reserve medical personnel with opportunities to complete required clinical training and annual training exercises within a premier civilian healthcare environment.
The Training Program Administrator will work closely with military leadership, healthcare professionals, educators, and Mercy Health staff to coordinate training activities, maintain accurate records, support program operations, and ensure a positive experience for military personnel participating in the program.

Key Responsibilities
* Coordinate the day-to-day administrative operations of the medical readiness training program.
* Develop and maintain monthly training rosters, tracking personnel, training dates, required activities, and completion status.
* Coordinate training schedules for military personnel across participating Mercy Health locations.
* Work closely with military leadership, educators, clinical staff, and Mercy Health representatives to facilitate training activities.
* Coordinate use of Mercy Health simulation laboratory resources for military training.
* Assist with the development and maintenance of annual training schedules and ensure scheduling requirements are met.
* Coordinate with Reserve units regarding training requests, arrival requirements, orientation documentation, and other required information.
* Assist with onboarding and registration of military personnel arriving for training, including badges, scrubs, identification, and required administrative paperwork.
* Prepare training and in-processing packets for participating personnel.
* Maintain accurate program records, databases, contact lists, and training documentation.
* Collect, review, and organize After Action Reports and participant surveys following training activities.
* Compile information and assist with presenting program results and trends during quarterly meetings.
* Assist with coordinating informational tours for military leaders, dignitaries, public organizations, and other visitors.
* Coordinate meeting rooms, site visits, parking, refreshments, itineraries, and other logistical requirements for program events.
* Support the review and coordination of Training Affiliation Agreements, Memoranda of Agreement, and Memoranda of Understanding with partner organizations.
* Provide professional administrative support, including correspondence, scheduling, filing, documentation, and database maintenance.
* Coordinate with hospital departments such as security and housekeeping to support training operations and access requirements.
* Maintain current contact and capability information for participating Reserve medical units.
* Follow applicable company, healthcare, military, and Department of Defense policies and procedures.
* Maintain confidentiality and appropriately handle sensitive and controlled information.
*Required Qualifications*
* *Bachelor’s degree* in Healthcare Administration, Business Administration, or a related field; *or*
* A degree in another relevant field with *at least five (5) years of demonstrated experience* as a healthcare administrator, certified project manager, program administrator, or in a related role.
* Strong organizational and project coordination skills with the ability to manage multiple priorities and deadlines.
* Excellent written and verbal communication skills.
* Ability to develop and maintain professional relationships with military personnel, healthcare professionals, leadership, and external stakeholders.
* Strong attention to detail and ability to maintain accurate records and documentation.
* Ability to work independently while collaborating effectively with a multidisciplinary team.
* Ability to handle sensitive, confidential, and controlled information appropriately.
* Ability to successfully complete required hospital orientation and training.
Preferred Qualifications
* *Master’s degree* in Healthcare Administration, Business Administration, Public Health, or a related field.
* Previous experience working in a *hospital or healthcare environment*.
* Experience supporting *Emergency Department (ER), Intensive Care Unit (ICU), trauma, critical care, or medical readiness programs*.
* Experience coordinating healthcare education, clinical training, or military medical training programs.
* Experience working with military or government organizations.
* Project management experience or certification.
* Familiarity with Air Force, Department of Defense, or other military healthcare policies and procedures.
Pay: $65,000.00 - $85,000.00 per year
