JOB SUMMARY This Administrative Assistantposition provide support to the EnvironmentalAffairs department. The Environmental Affairs department includes a large team that isresponsible for a wide variety of job functions,from laboratory work to office work to field workto project management. The AdministrativeAssistant position requires working in a fastpaced and collaborative environment. Theposition will support teams based at theEnvironmental Laboratory as well as teams thatare based at the Georgia Power Corporate Office.As such, the position will also spend time at theCorporate Office at some regular frequency asneeded. The ideal candidate has high initiative, iseager to learn and not afraid to ask questions, andvalues working with a variety of people that havedifferent support needs. The position isresponsible for administrative functions includingbut not limited to: • Employee time processing •Preparing monthly procurement card expensestatements • Calendar management, planningand organizing meeting arrangements andcatering • Invoice reconciliation and processing |check requests • Purchase Requisition, PurchaseOrder, and Supply Chain logistic support • Videoconference and conference bridge scheduling,set-up and coordination • Making travelarrangements • Maintaining SharePoint sites •Preparing presentations and communications •Ordering office and breakroom supplies • Filing,faxing, copying • Answering phones and takingeffective messages • Maintaining S: Drive, Teamsor SharePoint access and Outlook distributionslists • Budget preparations and tracking / monthlyaccruals • Other department specificrequirements, as needed Job Requirements: High School Diploma or GED required •Secretarial/administrative experience in a busy,fast-paced environment is highly preferred •Experience supporting a large department ishighly desired • Experience with timekeeping,expense reporting and reconciliation, arrangingtravel, and coordinating meetings, as necessary •Experience taking initiative and being a selfstarter in day-to-day responsibilities •Qualification of Pre-Employment Clerical Test •Administrative/clerical certification such asCertified Professional Secretary (CPS) or CertifiedAdministrative Professional (CAP) is desired, butnot required Knowledge, Skills and Abilities: •Ability to professionally represent thedepartment, including professional interactionswith executives, managers, peers, departmentemployees, vendors and other business partners.• Ability to multi-task to organize, prioritize andperform activities from multiple personnel atvarious levels within the department, determinepriorities, and meet the needs of the organizationwithin the required deadlines and with minimalsupervision • Ability to manage calendar, travel,inbox, and incoming calls with minimaldistractions, while ensuring the manager remainsabreast of daily activities and requests • Ability toconfidentially screen emails, upon request, andthe ability to proactively prioritize thehandling/processing of requests • Must be aneffective team player that is able to build andmaintain strong relationships with otherExecutive/Administrative Assistants and acrossthe Company, and provide back-up support toothers as needed • Proven ability to produceaccurate results with attention to detail in a timelymanner, independently, and with minimalsupervision and direction • Must possessexcellent customer service, time management,phone, interpersonal, and communication skills •Demonstrated proficiency using Microsoft Officeproducts (Word, Excel, Power Point, Access, andOutlook) • Ability to leverage resources to pulltogether and provide relevant, appropriateinformation around business needs/issues, andcreate effective PowerPoint presentationsutilizing such data • Proficiency in or ability tolearn various Systems andtools, including for timekeeping, expenses, travel,and purchase orders and invoicingLorenz Engineering Benefit Summary EEOThe Salem Group provides equal employment opportunity to all qualified employees and applicants for employment without regard to race, color, ancestry, national origin, sexual orientation, marital status, religion, age, disability, gender identity, results of genetic testing, service in the military, or any other category protected by law.
