WE FUEL UPTIME.Position SummaryThe Vendor Claim Specialist is responsible for processing and reconciling vendor credits related to core and warranty returns. This role reviews claim documentation, resolves discrepancies, and works with vendors and internal teams to ensure credits are received and applied accurately and on time.Key ResponsibilitiesPost and reconcile vendor credit memos related to core and warranty returnsReview M&D shipment claim documentation and accurately match supporting reference details to vendor credit memosApply credits correctly within the accounting system to ensure accurate financial recordsIdentify and understand relationships between M&D part numbers and vendor part numbers (including discrepancies between numbering systems)Research and resolve credit discrepancies by reviewing claim history, shipping documentation, and vendor communicationsMonitor and manage open core and warranty claims to ensure timely credit recoveryProactively follow up with vendors to secure outstanding credits and maintain current claim statusMaintain organized records of claims, credits, and supporting documentationCommunicate professionally with vendors to build and maintain strong working relationshipsCollaborate with internal departments (warehouse, purchasing, customer service, accounting) to gather necessary claim detailsPerform other duties as assigned by managementMinimum Qualifications (Knowledge, Skills, And Abilities)Strong attention to detail and accuracy in data entry and reconciliationAbility to analyze documentation and match information across multiple sourcesComfortable working with part numbers, data manipulation for cross-references, and vendor documentationStrong organizational and follow-up skillsEffective written and verbal communication skillsAbility to manage multiple claims and deadlines simultaneouslyAccounting or bookkeeping experience preferredExperience in distribution, parts, or automotive industry a plusSuccessful completion of pre-employment background and drug screeningFosters good coworker citizenship and contributes to a positive work environmentPhysical Demands and Work EnvironmentThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position.
