This role oversees a centralized team of Administrative Business Partners, Executive Assistants (EAs), and Office Managers to ensure seamless operational support for leaders, teams, and office environments.This leader will establish standards, drive consistency, and elevate the impact of administrative functions as a strategic enabler of business performance. The Director of Administration partners closely with senior leadership to align administrative support with company priorities, optimize workflows, and enhance employee and executive productivity, including oversight of Board-level administrative support.Core ResponsibilitiesLeadership & Team ManagementLead, coach, and develop a high-performing team of Administrative Business Partners, Executive Assistants, and Office ManagersDefine clear roles, responsibilities, and career paths across administrative functionsEstablish performance expectations, provide ongoing feedback, and conduct performance evaluationsBuild a strong, collaborative team culture focused on service excellence and accountabilityAdministrative Strategy & OperationsDesign and implement a scalable administrative support model aligned with company growth and structureStandardize processes, tools, and best practices across all administrative rolesDevelop and maintain service level expectations for administrative supportContinuously evaluate and improve administrative workflows to drive efficiency and effectivenessExecutive & Business Support AlignmentPartner with senior leaders to ensure appropriate administrative support is aligned to business prioritiesOversee complex calendaring, travel coordination, meeting planning, and executive support standardsEnsure high-quality support for critical business activities, including leadership meetings, offsites, and company eventsBoard Meeting Support & GovernanceOversee end-to-end preparation and execution of Board of Directors meetingsCoordinate board calendars, meeting schedules, and annual planning cadencePartner with executive leadership to manage timelines for board materials, presentations, and reportingEnsure accurate and timely distribution of board decks and supporting documentationManage logistics for board meetings, including travel, accommodations, meeting space, and virtual coordinationSupport governance best practices by maintaining confidentiality, organization, and proper documentation of board-related materialsOffice & Workplace ManagementOversee Office Managers to ensure consistent and high-quality office operations across all locationsDrive workplace experience initiatives that support employee engagement, productivity, and culturePartner with cross-functional teams (e.g., IT, HR, Facilities) to ensure smooth day-to-day operationsProcess Improvement & TechnologyIdentify opportunities to leverage tools and technology to enhance administrative efficiencyImplement systems for task management, scheduling, expense reporting, and communicationTrack and analyze administrative metrics to inform decision-making and resource allocationResource Planning & Budget ManagementDevelop and manage budgets related to administrative operations, office management, and eventsPlan and allocate administrative resources based on business needs and utilizationSupport hiring, onboarding, and workforce planning for administrative rolesRequiredQualifications & CompetenciesBachelor's degree or equivalent experience8–12+ years of experience in administrative leadership, operations, or a related function3–5+ years of people management experience, leading diverse administrative teamsProven ability to scale administrative or operational functions in a growing organizationStrong organizational, problem-solving, and decision-making skillsPreferredExperience supporting C-suite executives and Board of DirectorsBackground in professional services, consulting, or fast-paced corporate environmentsExperience managing multi-location office operationsKnowledge & SkillsStrategic thinking and operational executionLeadership and team developmentStakeholder management and executive presenceProcess improvement and change managementHigh attention to detail and service orientationDiscretion and ability to manage highly confidential informationAbility to prioritize and operate effectively in a dynamic environmentWork Environment & ExpectationsThis role may require occasional travel to office locations and Board meeting locationsAbility to manage multiple priorities and respond to time-sensitive needsThis is an in-office positionAdditional InformationAt VERTEX, we invest in top talent with a highly competitive total compensation package that rewards performance and supports long-term success.
