Extensive knowledge of modern office practices and procedures. Excellent knowledge of grammar, spelling and punctuation. Extensive skill in computers and assorted software programs. Skill in the operation of various office machines including typewriter, computer. Ability to exercise initiative and sound judgment and to react resourcefully under varying conditions. Ability to establish and maintain effective relationships with the public, other agencies and employees. JOB GOAL: Perform complete administrative duties and detail work requiring extensive exercise of independent judgment. Act in supporting role to the Superintendent and the Board of Education under the tenet of strict confidentiality. PERFORMANCE RESPONSIBILITIES AND DUTIES: Perform complete secretarial duties for the Superintendent. Appropriately handle confidential matters concerning major school policy and decisions, keep advised of the current status of the workings of the administration, collect information for the use of the administration as directed by the Superintendent, and resolve, according to predetermined plans, when action by other administrators is necessary in situations arising during the absence of the Superintendent. Handle a variety of administrative detail that involves contact with teachers, administrators, Board members, the public and other employees. Relieve the Superintendent of administrative detail; relay school policy and instructions, arrange meetings, do briefs or draft responses to correspondence when appropriate and efficiently deal with miscellaneous data. Furnish the public with advice and assistance, which requires excellent knowledge of school and district organization, rules, regulations, brochures, handbooks, and policies. Take notes of meetings, keeping official records and reports for the Superintendent and members of the Board. Prepare correspondence. Other duties as assigned. GENERAL RESPONSIBILITIES: Personnel Responsibilities Maintain updated policy handbooks for all employees. Serve as a point-of-contact for all walk-in traffic and direct inquiries appropriately. Miscellaneous Duties Maintain Administrative Policies and Procedures Manual. Create the Back-to-School Information publication and Superintendent's Annual Report. Issue Age Verification Certificates to students when requested. Compile and complete certificate and documentation for Employee of the Quarter Award. Notify media of recipient. Chair for the end of year staff recognition reception. Maintain and keep an up-to-date central office filing system. Receive telephone and personal callers, direct inquiries from to appropriate administrators, sort and screen incoming correspondence and respond when appropriate. Accounts payable data entry for Superintendent and Board of Education. Perform related work and other duties as assigned. Other duties as assigned. Board of Education Prepare Board agendas and reports for review by the Superintendent. Complete and distribute board packets prior to all board meetings. Serve as recording secretary for meetings of the Board of Education and other meetings as requested. Transcribe and complete official minutes of the meetings of the Board. Maintain the Board By Laws and Governance Policies. Serve as the designated election official in all district elections. Other duties as assigned. REPORTS TO/EVALUATED BY: Superintendent of Schools TERMS OF EMPLOYMENT: FLSA Exempt - 230 Days. Salary range is $55,060 - $62,300 depending on experience.
