Fleet Lease (F/L) OUTSIDE COORDINATOR

America's Auto Auction has developed a platform built on lasting relationships and superior service that leverages the best of vehicle offerings.What you'll do:The Outside Lease Coordinator is responsible for managing the physical flow, location accuracy, and readiness of vehicles throughout the operation. This role ensures vehicles are properly staged, located, and prepared at each step of the workflow to support inspections, recon, imaging, transportation and sales execution.Responsibilities:Vehicle Flow & StagingLocate, move, and stage vehicles according to workflow needsEnsure vehicles are positioned correctly for inspection, recon, imaging, transportation, and saleMaintain orderly lot organization and efficient flow pathsPrevent 'unable to locate' situations through proactive lot checksPhysical Accuracy & Quality ControlPerform daily lot checks to confirm vehicle location accuracyIdentify physical discrepancies or missing unitsEscalate issues promptly to leadershipVerify vehicles are physically sale-readyCross-Functional CoordinationCommunicate vehicle status and physical blockers to the Inside CoordinatorSupport Transportation Coordinator with vehicle movement needsWork closely with Fleet Manager to resolve delays or constraintsCoordinate with inspection, recon, and imaging teams as neededSale & Lane SupportStage vehicles accurately and on time for sale lanesConfirm lane readiness prior to sale executionSupport last-minute movement needs to prevent sale delaysDaily ResponsibilitiesConduct lot walks and location verificationStage vehicles according to daily workflow prioritiesEscalate missing, delayed, or incorrectly staged vehiclesWeekly ResponsibilitiesReview recurring staging or location issuesSupport process improvement effortsAssist with workflow audits and bottleneck identificationMonthly ResponsibilitiesParticipate in lot organization resetsSupport SOP adherence and process reviewsOther duties as neededKey Performance Indicators (KPI's)Lot location accuracyOn-time staging percentageZero 'unable to locate' incidentsSale lane readiness complianceRequirementsRequirements/Qualifications:Education: High School Diploma, some college preferred.Experience: Auction, logistics, or yard operations experience preferredStrong organizational and time-management skillsAbility to work independently in a fast-paced environmentClear and professional communication skillsComfortable working outdoors around vehicle trafficSkills: Should be highly organized, self-motivated and self-disciplined. Highly customer service orientated. Computer proficient. Must be able to read, write and speak English fluentlyRequirements:Must be at least 21 years of age.Must possess a valid driver's license.Must be able to pass a pre-employment drug test according to company guidelines.Must be able to pass a pre-employment background check per company guidelines.Environment: The environment of the Outside Lease Coordinator involves working at the Auction and representing the company upholding the highest standards of customer service with customers and employees alike. Those working in this position are subject to temperature changes, all types of weather conditions, elevated noise levels and at times fumes and odors associated with vehicle exhaust at times. Attention to safety and situational awareness is required at all times as this position will be working around vehicles at all times.
