Overview of Event Services Coordinator
The Events Management Department is seeking an Event Services Coordinator to join their team. The role of the Event Services Coordinator within the department of Events Management at Purdue Northwest is pivotal in coordinating facility rentals and ensuring memorable events for clients and visitors across multiple outlets including Gabis Arboretum at PNW. This position has responsibilities encompassing a range of tasks, including managing external inquiries, conducting tours showcasing university venues, finalizing client details, providing consultation and planning support, serving as the onsite event manager, executing events, handling accounts payable tasks, and managing social media platforms. The Event Services Coordinator will also assist the Event Operations Manager with duties as necessary. May travel to Westville Campus as needed.
Duties and Responsibilities of Event Services Coordinator
Work closely with contracted clients to finalize event details, ensuring all aspects are meticulously planned and executed according to their preferences.
Expertise in consultation and planning will be invaluable as they guide clients through the process, offering expert advice and assistance every step of the way.
Serves as the onsite event manager, overseeing all aspects of event execution to ensure smooth operations and exceptional customer experiences.
An attention to detail and ability to troubleshoot any challenges that may arise will be crucial in ensuring the success of each event.
Handle accounts payable tasks and managing financial transactions related to events and banquets.
Handles external inquiries from prospective clients interested in renting facilities Purdue Northwest.
Effectively manage these inquiries, providing detailed information and guidance to potential clients to help them make informed decisions about their event needs.
Actively conduct venue tours in the absence of the Director of Event Services, with a primary focus on showcasing the offerings of university venues to prospective clients.
Responsible for managing social media platforms designated for Events Management, promoting facility rentals and banquets to attract attendees and raise awareness of the university offerings in the community.

Education of Event Services Coordinator
HS Diploma required
Bachelor Degree in event management, hospitality or related field preferred, but not required if applicable experience is demonstrated
Experience of Event Services Coordinator
Minimum of 6 months experience in sales and/or event coordination
