Executive AssistantThis role will be based in New York, NY. The work location of this role is hybrid, meaning it will be performed both from home and from a LinkedIn office on select days, as determined by the business needs of the team.We are looking for an Executive Assistant 2 to support LinkedIn's Marketing Solutions team. In this role, you'll work directly with the Senior Director, Product Marketing Management and the Senior Director, Ecosystem Marketing, and you will be responsible for a mix of administrative and operational activities. The ideal candidate is proactive, organized, and able to maintain strict confidentiality of corporate and personal information, with the ability to operate effectively in a high volume and fast-paced environment.Responsibilities:Full support of the LinkedIn Marketing Solutions Team's Senior Director, Ecosystem Marketing and Senior Director, Product Marketing Management, and supplemental support of their respective teamsPlan, organize and manage executive calendars (resolve overlapping commitments and protect / align time with priorities)Organize, schedule, manage logistics, and ensure content preparedness (including pre-reads, PowerPoint decks, and other communications) for internal and external meetings and events, including team meetings, off-sites, culture events, and team buildingActively participate in meetings for notetaking and follow-up summaries and documentationAnticipate critical rhythm of the business initiativesCoordinate all domestic and international travel arrangementsPlan, track, and manage a budget for the team (e.g., contracts, specific line items), and manage and reconcile expense reports, purchase orders, and procurement requisitions in accordance with budget and department and company-wide policies and standardsPartner with stakeholder teams outside of the Marketing Solutions team to help coordinate cross-functional efforts and initiativesProficiently answer, screen, and route internal and external correspondence, requests, and other communicationsSupport knowledge management systems, including managing and updating SharePoint sites, document libraries, trainings, and playbooksProvide back-up support for other executive assistants when needed and serve as a resource for new administrative employees on best practices and relevant processesMaintain and update email distribution lists / aliasesSupport special projects as neededAct as a point of contact with workplace services to meet facility needs for the teamProvide input to improve processes, efficiency, and execution of the organizationAdapt to changes in systems, tools, and processes, and adhere to and share best practicesMaintain a strict degree of confidentiality along with excellent judgement, discretion and a high degree of maturity and professionalismApply judgment with full understanding of urgency and priorities of the business, routinely needing to multi-task with little to no directionPartner closely with other executive/administrative assistants and the Chief of Staff on all department-related matters and initiativesBasic Qualifications:4+ years of experience in an administrative, coordinator, or related role; OR a bachelor's degree in business, Business Administration, or related field AND a minimum 1+ year of experience in an administrative, coordinator, or related rolePreferred Qualifications:3+ years of experience supporting Senior Director+ level leaders1+ year of experience in project management1+ year of experience in budget managementThrives in a fast-paced, demanding environmentHigh operational ability to execute quickly with strong attention to detail and accuracyExcellent communication, analytical, and organizational skillsAbility to professionally interact with senior leaders and anticipate their needsComfortable collaborating with other assistants to get things done and ensure LinkedIn achieves its missionDemonstrates ability to be proactive, take initiative, and exercise good judgment, discretion and confidentiality in all tasksAbility to effectively manage time, prioritize tasks, and work within deadlines and handle a high level of ambiguityAbility to consistently solve complex problems creatively after in-depth evaluation of variable factorsCollaborative spirit with ability to act as a team culture steward and build relationships, mentor, and work effectively across administrative team at LinkedInDemonstrates excellent understanding of how an organization operates across functionsAdvanced knowledge of MS Office (Outlook, Word, PowerPoint, Excel) and familiarity with cloud-based applications (SharePoint, Google Docs)Ability to set up and manage virtual meetings via MS Teams and ZoomDemonstrated AI fluency, able to understand, engage with, and strategically apply AI in practical, real-world contexts without needing to code or build modelsSuggested Skills:Organizational skills including calendar management, task management, and event planningCommunication skills including written and verbal communication with strong interpersonal skillsProblem-solving with proactive and independent decision-makingA drive to bring teams together and promote collaboration and positive team cultureDiscretion, with the ability to handle sensitive information with careAI fluency, with the ability to apply AI tools to everyday administrative workflowsLinkedIn is committed to fair and equitable compensation practices.The pay range for this role is $87,000 to $143,000. Actual compensation packages are based on several factors that are unique to each candidate, including but not limited to skill set, depth of experience, certifications, and specific work location. This may be different in other locations due to differences in the cost of labor.The total compensation package for this position may also include annual performance bonus, stock, benefits and/or other applicable incentive compensation plans.
