Building Permitting Project Admin

Overview Own the paperwork, portals, and project flow behind every plan review and inspection, and help Florida builders move faster without cutting corners. Who We're Looking For We're looking for an experienced construction compliance professional to own the administrative and coordination work behind our plan review and inspection operation. This is a full-time, in-office role in Martin County, Florida. You already understand the Florida permitting and inspection lifecycle. Day to day, you'll manage plan review and inspection paperwork, work in municipal permitting portals, and coordinate with our licensed plan reviewers, inspectors, and builder clients to move projects from intake through closeout. You take ownership of process and detail, and you keep work moving without constant direction. What Good Work Looks Like Here We operate on a simple standard: every project is moving, compliant, and audit-ready. In practice, that means: Clean, complete files. Plans, forms, NOIs, reports, and emails are organized, current, and easy to audit. Predictable progress. Permits, plan reviews, and inspections always have a clear next step and date. Nothing drifts. Clear judgment. You surface constraints, exercise discernment, and know when to escalate to licensed staff. Proactive communication. Contractors and builder partners get concise status updates before confusion sets in. Tight turnaround. You help us hold our service levels: 2-business-day plan reviews and same-day or next-business-day inspections. Key Responsibilities Manage plan review and inspection paperwork across multiple Florida municipalities and permitting portals. Coordinate with licensed plan reviewers and inspectors, preparing documents for their review and signatures. Track and update project status, permits, NOIs, and inspection results in our systems and builder portals. Meet internal service levels for reviews, submissions, and status updates. Identify operating constraints, prioritize work, and propose clear paths forward in ambiguous situations. Maintain accurate, audit-ready records across our project management and document tools. Requirements REQUIRED: Direct experience in Florida construction admin work (building department, private provider, GC, or similar) so you understand the project lifecycle. Preferred: experience as a permitting technician, at a fast-paced builder or single-trade business (roofing, pools, or similar), or inside a building department. Comfortable working on-site in our Martin County office, Monday through Friday during normal business hours. Ability to learn and use our tools stack (Monday.com, permitting portals, PDF tools) and assisting to document workflows. Reliable, consistent presence and follow-through. You keep things moving without constant reminders. High attention to detail and the judgment to apply processes accurately and escalate appropriately. You Might Be a Great Fit If You Take ownership and are the person who gets things handled. Stay calm, disciplined, and consistent when timelines are tight. Are opinionated about good processes but coachable and eager to learn our way of working. Think in systems and look for better ways to run the work. See projects through to completion and take pride in accurate, clean records. This Role Is Not for You If You Lose composure under pressure or escalate tension instead of defusing it. Need constant direction to discern and prioritize tasks. Regularly leave projects unfinished or let details slide. Can't or won't identify operating constraints and propose a path forward. Don't want to work in-office in Martin County on a consistent schedule. If you take pride in turning messy permitting and inspection workflows into clear, predictable projects, and you want a role with a real path to growth, we'd like to hear from you. About Us We focus on working with single-family home builders and pool contractors. We partner with builders who care about both speed and compliance, and we run on tight, database-driven workflows and clear service levels, so our team can do focused, high-quality work without the politics and backlog of municipal review.
