Event Experience Manager, Life Sciences, Clinical Experience Required The Event Experience Manager will work closely with the client to understand program goals and objectives, and provide a return on their investment throughout each aspect of the program. The Manager focuses on tactical operations, working with the operations team to deliver optimal services that support those goals. The Manager works efficiently with internal support teams, external clients, and vendors while staying in compliance with corporate and pharmaceutical guidelines.What You Will Do HereProject Management with a consultative approach for virtual, hybrid, or in-person meetingsClient, financial, and vendor managementMarketing & sales, event design, and onsite servicesManage multiple projects on tight timelinesEvent managementFollow all client mandated SOPs as requiredDigital producer and/or tech support for your own eventsWork with procurement to source and secure event space and guestroomsReview and monitor contract terms, space, and guestroom blocksSource, secure and manage all required suppliers (e.g., DMC, AV/production, off‐site venues)Profile management in event software (Cvent or client system) and maintain accurate event and financial dataCreate and manage program agenda, event resume, specification sheets, and timelines based on SOPsGuide clients on website development that produces quality reports to meet budget‐owner needsCollaborate with the Attendee Registration Department on all attendee communications, reporting, and housing inquiriesGuide internal and external teams through effective communication and organized plansSchedule and hold internal team meetings (kick‐off, pre‐con, post‐con)Collaborate with the Group Travel Department or client‐specified TMC for airline booking to attendees, if neededWork with the mobile app team to create an app that meets the client's event needsAct as liaison with vendors and the hotel/venue to provide support and communication required for seamless executionCollaborate with the FLOW division to secure gifts and giveaway items meeting client and company SOPs for multiple bidsBEO review and executionCoordinate and schedule required ground transportation using preferred vendorsCoordinate distribution of travel letters and departure noticesMarketing, sales and event design servicesCollaborate with the creative team to design promotional materialsResearch entertainment options (DJ, band, dancers, performers) to meet theme and budgetCreate décor and lighting presentations based on theme and budget, working with production companiesCreate and manage diagrams based on guest counts, entertainment, equipment, A/V, and lighting componentsAct as liaison between venue and all vendors to produce a seamless showCreate production schedule, supervise deliveries, setup, and strike of stage, A/V, lighting, décor, equipmentManage logistics and riders for entertainment companiesFinancial managementUnderstand client financial requirements and deadlinesCreate and manage budgetsManage all event‐related payment requests and processingAudit and reconcile hotel and other vendor invoicesCreate cost‐savings worksheetsManage final invoice documents and reconciliationsVendor managementSource, secure and manage suppliers to deliver best services at effective pricingNegotiate cost savings and manage payment/reconciliation processCommunicate event goals, objectives, and specifications to each vendor clearly and effectivelyOnsite servicesLead onsite team and operationsKnowledge of virtual and hybrid event optionsAbility to travel on‐site approximately 35% domestically and internationallyProven excellent oral and written communication skillsTrack record of managing multiple projects simultaneouslyAbility to deliver creative outputs in a constrained timeline while maximizing resourcesExperience working in a virtual office environment (plus)Proficient in Microsoft Office (Outlook, Excel, OneNote, Word, PowerPoint)Experience with database management programs (Cvent preferred)Life Sciences specialty onlyMinimum 3+ years of experience in Life Sciences programs, sales, and/or clinical program managementConference & tradeshow specialty onlyMinimum 3+ years of experience in meeting/conference planning or exhibit/tradeshow managementIncentive services
