Project Controls Specialist - Mission Critical

We have a culture of growth and achievement powered by innovation, supported by purpose and joy.Big-D Construction, has an opportunity for a Project Controls Specialist to join our Mission Critical team based in Salt Lake City, UT.Experience/TrainingFour years of construction, project coordination, or administrative experience.Job Duties, Responsibilities and Expectations (other duties may be assigned to meet business needs)Project Controls & ComplianceSupport contract administration in coordination with Preconstruction and Project Management, including preparation and issuance of subcontracts, purchase orders, and related project documentsTrack and manage subcontractor and vendor compliance requirements, including insurance, licensing, bonds, and other contractual obligationsSupport preparation and review of owner pay applications, subcontractor billings, schedule of values, and related backup documentationAssist with accounts payable and accounts receivable processes, including tracking purchase orders, invoices, and payment statusSupport development, tracking, and consistency of change management documentation, including PCOs, CORs, owner change orders, and subcontract change ordersHelp maintain alignment between cost codes, commitments, change orders, and project financial reportingTrack and manage contractual notice requirements, lien notices, lien releases, and other project compliance documentationPartner with Preconstruction to review contract requirements, billing provisions, insurance requirements, bond obligations, and project setup needsSupport preparation of owner reports, executive summaries, risk logs, and other project-specific reporting requirementsHelp ensure consistency and compliance across project controls processes, documentation, and reporting standardsProject Support & AdministrationAssist with project startup and closeout activities, including setup of project files, document control systems, turnover packages, and O&M manualsMaintain organized project filing systems, both digital and hard copy, for contracts, drawings, submittals, RFIs, meeting minutes, change orders, and other project recordsPrepare, organize, and distribute project documentation utilizing Procore and other company systemsSupport timely completion and submission of contracts, bids, permits, development applications, and other project-related documentationParticipate in project meetings, take and distribute meeting minutes, and track follow-up itemsAssist project teams with expense reports, timecards, travel requests, office supply needs, and other administrative functionsCoordinate distribution of project information to clients, subcontractors, vendors, consultants, and internal team membersMaintain professional communication with clients, subcontractors, vendors, and internal teamsSupport training and onboarding of Project Administrators, Project Managers, and other team members on company processes, systems, and documentation standardsSupport and follow company policies, procedures, and project standardsLeadership DutiesMeetings: Facilitate project meetings and/or interactive planning meetings as required by the project team.Training: Provides training and oversight to team members.Audits: Conducts routine audits of project controls and compliance.Process development: Provides input on standards, templates, processes, and procedures.Collaboration: Collaborate with internal team members, trade partners, and clients.QualificationsThree or more years of construction, project coordination, or administrative experience.Proficient in Microsoft Office Suite and Procore.Ability to manage and prioritize multiple tasks and competing deadlines across several projects and managers.Ability to communicate effectively with project managers, team members, and external stakeholders.Strong organizational skills with the ability to manage multiple tasks timely and prioritize effectively, including managing priorities of multiple managers.An eagerness to teach and develop others.Work well in a team environment, drive consistency and collaboration, approach challenges with a solutions-oriented mindset.BenefitsBig-D pays for 100% of your medical and dental insurance premiums- even for family plansHealth Savings Account (HSA) with monthly Employer Contribution401k w/ matchLife Insurance & Disability paid for by Big-DVoluntary supplemental plans available to sign up for as wellPTO & HolidayAdditional Job InformationInterested applicants must submit their resume for consideration using our applicant tracking system.
