Program Manager, Operational Excellence (Full-Time, Remote)THE HIGHLIGHTS
Location: Remote
Schedule: Full-time; core collaboration hours with clinical and operational teams, with flexibility based on program needs
Compensation: Competitive, commensurate with experience
Function: Part of Mindspan's Operational Excellence function within Operations, spanning both our diabetes and cognitive/dementia care lines of business Engagement structure: Operational Excellence typically rotates through focused 3-6 month assignments owning specific efficiency and improvement initiatives across the organizationOUR MISSIONMindspan is building a trusted, scalable healthcare system that delivers measurable outcomes for patients managing complex chronic conditions. Today that spans two lines of business: cognitive care for patients living with dementia and memory-related conditions, and diabetes care. Across both, we combine world-class clinical teams, technology-driven care navigation, and compassionate support to ensure every patient gets the care they need, when they need it, with dignity and trust.
ABOUT THE ROLE: We're looking for a Program Manager to be part of our Mindspan's Operational Excellence function — the team that owns the infrastructure making the rest of Operations run, across both our diabetes and cognitive/dementia care businesses. That means helping improve the data systems and dashboards that give leadership visibility into performance, the vendor relationships that underpin how the team works, and the liaison functions that connect Operations to Finance and Revenue Cycle Management. It also means owning cross-team efficiency initiatives — the recurring inefficiencies that no single team is positioned to solve on its own. In practice, this work is program-based: you'll typically take ownership of a specific initiative for 3-6 months — rebuilding a reporting pipeline, consolidating a vendor relationship, standing up an SOP framework, redesigning a workflow that's creating bottlenecks — before handing it off and picking up the next priority. You'll often be handed a problem, not a playbook, and it's on you to figure out the right approach, rally the right stakeholders, and drive it to a concrete result. This role sits at the intersection of clinical operations, data, and infrastructure. You'll work directly with clinicians, operators, and cross-functional leaders, and you'll need to be equally comfortable building a dashboard, negotiating a vendor contract, cleaning up a messy spreadsheet, or writing up a workflow recommendation. We're looking for someone who thrives on variety, works well independently, and is energized — not overwhelmed — by constantly shifting priorities.
KEY RESPONSIBILITIES: Be an integral part of Mindspan's Operational Excellence function, owning the infrastructure that keeps Operations running smoothly across both the diabetes and cognitive/dementia care lines of business. Own and continuously improve operational dashboards and reporting (e.g., referral pathways, visit completion, provider asks, patient churn), partnering with Care Support and Expansion teams to define data requirements and ensure reporting is accurate, timely, and accessible. Identify and resolve systemic inefficiencies across the ops team — tool consolidation, internal communication workflows, cross-team coordination — and own the framework for how SOPs are documented, versioned, and accessed. Take end-to-end ownership of specific, time-bound programs (typically 3-6 months) as new priorities emerge, partnering with clinicians, operators, and cross-functional stakeholders to scope work, define success metrics, and build realistic project plans. Pull, clean, and analyze data from multiple systems (EHR, spreadsheets, internal tools) in support of both ongoing dashboards and one-off program needs. Navigate ambiguity and competing priorities, adjusting scope and approach as organizational needs evolve, and communicate status, risks, and recommendations clearly to executive stakeholders. Operate independently with minimal day-to-day oversight, exercising sound judgment about when to escalate and when to drive forward. As needed: Manage vendor relationships as needed supporting Operations (e.g., telephony, virtual mail, ticketing systems, translation services) — contract renewals, pricing reviews, escalations, and vendor evaluation. Serve as the liaison between Operations and Revenue Cycle Management, ensuring billing-related workflows (CPT code alignment, prior authorization, claim documentation) are reflected accurately in SOPs, and escalating systemic issues.
QUALIFICATIONS: Bachelor's degree required 4+ years of experience in program/project management, management consulting, business operations, or a related field; early stage startup experience a plus 4+ years in healthcare, in some capacity, clinical experience a huge plus Demonstrated ability to work independently and deliver results amid ambiguity and frequently shifting priorities Strong technical and analytical skills: advanced proficiency in spreadsheets (Excel/Google Sheets), experience pulling and structuring data from multiple sources, and comfort building reports and dashboards; SQL or other data tools a plus Excellent stakeholder management skills, with the ability to build trust and drive alignment across clinicians, operators, and executives Track record of taking a loosely defined problem and turning it into a structured plan with measurable outcomes Excellent written and verbal communication skills Comfortable in a fast-paced, high-growth startup environment where priorities can change quicklyBENEFITSMindspan offers competitive benefits designed to support the well-being of our team, including:3 weeks of PTO in addition to 9 holidays and 2 floating holidays Mindspan-funded health benefits (medical, dental, vision) - starting at zero cost to you One Medical membership and Teladoc virtual care Therapy on your time with a free year of Talkspace membership Competitive Paid Parental Leave for parentsABOUT OUR TEAMMindspan was founded in 2024 by a team of healthcare veterans, founding multiple companies from whiteboard to exit.
