With ambitious goals to become an influential, global organization, The Foundation works across sectors to advance fruit and vegetable consumption as a cornerstone of improved health, equity, and long-term demand.The Executive Assistant provides high-level administrative and executive support to the President, a globally engaged leader whose work includes interaction with senior leaders across philanthropy, public health, business, and government.The Executive Assistant is a trusted partner and extension of the President, enabling strategic focus through anticipation, sound judgment, and thoughtful coordination with mastery, discretion, and professionalism for the array of stakeholders.Key Responsibilities & Time AllocationExecutive Support & Strategic Enablement (40%)Manage the President's calendar with strong judgment around priorities, sequencing, and time protectionAnticipate needs and proactively prepare the President for internal and external engagementsSchedule and coordinate meetings with global partners, board members, donors, and senior stakeholdersPrepare agendas, briefing materials, background research, and meeting notes as requestedTrack action items and follow-ups related to the President's commitmentsSupport budget-related coordination by entering data, organizing materials, and preparing summaries as provided by financeUse modern productivity tools, including AI-enabled tools where appropriate, to support research, briefing preparation, and administrative efficiency while maintaining confidentiality and accuracyFlag patterns, risks, or opportunities that support effective leadership and decision-makingBoard & Governance Support (20%)Coordinate logistics for Board of Directors and committee meetingsSupport preparation, organization, and distribution of board materialsTrack board calendars, action items, and follow-upsSupport administrative communications with board membersDevelopment and Fundraising & CRM Support (Administrative Enablement) (20%)Provide administrative and coordination support to the development functionMaintain CRM data accuracy through timely data entry, updates, and record hygieneSchedule and coordinate donor, funder, and partner meetingsTrack fundraising deadlines, proposal submissions, and reporting calendarsSupport donor stewardship logistics and follow-up trackingAssist with preparation and organization of fundraising and briefing materialsProgrammatic & Internal Coordination (20%)Coordinate internal meetings related to programs, initiatives, and cross-functional workSupport communication and coordination among program staff, consultants, and shared servicesMaintain document organization, version control, and confidential filesServe as a central administrative point of contact for internal coordination tied to the President's prioritiesRequiredBachelor's degree5+ years of executive administrative or executive assistant experienceExperience supporting senior leaders in business, public life, or philanthropyProven discretion with highly confidential informationExcellent written and verbal communication skillsStrong proficiency with word processing, spreadsheets, and scheduling toolsHighly organized, detail-oriented, and self-directedComfortable working in dynamic environments with ambiguityPreferredExperience in nonprofit, foundation, association, healthcare, or corporate environmentsExperience supporting boards and donor-facing leadershipFamiliarity with CRM systems and fundraising administrationMeasures for SuccessDemonstrates sound judgment, discretion, and professionalism in all interactions, earning trust as a steady and reliable partner to the President, Board members, staff and external stakeholdersMaintains a high standard of executive readiness, ensuring the President is consistently prepared, well-briefed, and positioned for effective engagement across governance, fundraising, and external leadership responsibilitiesEnsures smooth and dependable execution of core administrative functions, resulting in well-run board processes, organized materials, and timely follow-through without the need for escalation or correctionSupports the Foundation's advancement activities with accuracy and reliability, contributing to effective fundraising operations through disciplined coordination, documentation, and attention to detail
