Jobsite Administrative Assistant
About the Job: The Jobsite Administrative Assistant plays a vital role in ensuring the smooth operation of the project site for Colasanti. Provides administrative support for the Construction Project Team managing paperwork, coordinating tasks and assisting with various administrative functions. The administrative assistant will be on our jobsite in El Paso.Training: Training will be in Orlando, FL a few weeks before the jobPrimary Responsibilities: (but not limited to) Maintain and organize project documentation.Assist with scheduling meetings, taking meeting notes, site visits, and inspectionsHandle communications between project managers, subcontractors, and vendors. • Submit expense reports.Track inventory and assist with order supplies for the jobsite. • Support HR functions such as onboarding new site employees and maintaining personnel records.Utilization of company programs for new hires and time tracking.Assist with jobsite compliance reportingPrepare daily reports on site activities and workforce attendance.Assist with employee hour reporting ensuring proper cost coding.Preparation of project specific compliance reports. Other tasks and projects as assigned.Qualifications / Skills:Bachelor’s degree or 3 years relevant experience.Excellent oral and written communication skills, as well as strong interpersonal skillsAbility to manage multiple tasks.Possess the working competency with the following software: Microsoft Office suite of products (Word, Excel, PowerPoint, Outlook, Teams), Procore.Strong analytical and problem-solving skills. Highly organized. Excellent communication skills. Knowledge of communicative behavior and lead discussions, negotiations, provide feedback, manage conflicts, and provide a positive, motivating environment for the project team.Self-motivated, willing to learn, is a strong leader, and a team player can facilitate outcome through others.Position requires the ability to work in an organized manner in a fast-paced environment and manage time to meet deadlines.Working conditions vary from that of a dry, well lighted, and tempered office only environment to a project jobsite office which may include high noise levels, extreme outdoor temperature, etc.Needs to be able to safely climb stairs and ladders and walk on uneven terrain.
