Front Desk Receptionist — Neuro-Optometry Clinic
The Mind-Eye Institute is seeking a friendly, organized, and patient-centered Front Desk Receptionist to serve as the first point of contact for patients and caregivers. This role is ideal for someone who enjoys helping others, staying on top of details, and keeping a busy clinic running smoothly—especially through strong patient flow management and clear communication.
Key Responsibilities
In this role, you will:
Greet patients and caregivers and manage a professional, welcoming front desk experience
Coordinate patient flow throughout the day by communicating with the clinical team, tracking arrivals, and helping keep appointments moving on schedule
Complete accurate check-in and check-out, including collecting/verifying paperwork and information
Answer and route incoming phone calls, and respond to emails and faxes in a timely manner
Schedule appointments and assist patients with general questions about next steps
Prepare charts for upcoming visits and support outgoing medical records
Act as a communication bridge between patients/caregivers and the clinical team, ensuring concerns and updates are shared appropriately
Support daily office organization (supplies, documentation workflows, and maintaining a calm, efficient lobby environment)

Requirements
Must be able to work 40 hours per week, in person at our Northbrook office
Schedule commitment: 8-hour shifts, 11:00am–7:30pm, Monday–Friday
Prior experience in a medical office, receptionist, front desk, customer service, or administrative role is preferred
Comfortable learning new computer systems and multitasking in a fast-paced environment
Strong communication skills and an empathetic, calm presence with patients and families
