Administrative Assistant

The Administrative Assistant will provide strong administrative support to the entire Maintenance and Management teams. The position will be responsible for inputting, updating and maintaining accurate data in the Material Management Information System (MMIS). This position will also pull information into reports using various sources of data including database, electronic files and hard copies.Primary Responsibilities:Serve as the administrative point of contact for teams and visitors.Maintain in-house database software (Trapeze) by updating equipment information and work orders.Perform data entry tasks by updating work order labor hours, entering employee comments, finishing and closing work orders.Regularly update and track schedules, timelines, and status reports for various tasks.Interface with technicians to solve discrepancies of work orders and time sheets.Assist with preparation of customer reports.Prepare work orders and check sheets for all inspections and repairs.Make copies of blank inspection forms to ensure all shifts have the necessary documents for their inspections.Organize and maintain files, records and checklists.Scan and file electronic: hard copies of work orders, PM/CM checklists, time sheets, inspections for DOT reporting, etc.Help coordinate meetings, lunches, and department activities.Coordinate travels and process expense reports.Ordering of all office supplies and breakroom necessities.Maintain company vehicles including vehicle service and logs.Compose routine letters and correspondence on the Manager's behalf.May provide input on administrative and procedural problems.May be called upon to help train new admin staff.Maintain the confidentiality of the Company business.Assist with other duties and tasks as assigned.Qualifications:High school diploma or equivalent; college degree preferred.Basic understanding of office equipment.Ability to learn new database software and production processes.Professional demeanor and team player.Great organization, attention to detail and time management skills.Excellent verbal and written communication skills.Excellent customer service skills.Computer skills: MS Office (Word, Excel), MS-SharePoint, data entry systems.Prolonged periods sitting at a desk and working on a computer.Must be able to lift up to 15 pounds at times.
