Legal Practice Assistant - Construction

A well-established California law firm is seeking a Legal Practice Assistant to support its Construction practice. This role is ideal for a highly organized and detail-oriented professional with strong litigation experience who thrives in a fast-paced, deadline-driven environment. The Legal Practice Assistant will play a key role in supporting attorneys, managing case materials, and ensuring timely handling of legal matters.RESPONSIBILITIES:Draft, review, and revise legal and non-legal documents including correspondence, pleadings, and memorandaFormat court pleadings and generate tables of authorities and contents using firm softwareFile documents with courts and administrative bodies, including e-filingArrange for service of pleadings and subpoenasCoordinate meetings, teleconferences, conferences, and travel arrangementsOrganize and maintain case files, binders, and legal documentationPartner with records teams to manage electronic and physical filesReview and route incoming mail to appropriate partiesMaintain attorney and shared office calendarsAssist with municipal law-related documents (e.g., resolutions, ordinances, agendas)Track and manage ongoing legal and administrative projectsEnter attorney billable time and coordinate with billing teamsProofread documents for accuracy, grammar, and formattingPrepare expense reports, check requests, and vendor paymentsProvide backup support to other administrative staff as neededSupport attorneys with business development activitiesDeliver high-level customer service to internal and external stakeholdersQUALIFICATIONS:High school diploma required; Bachelor's degree preferredMinimum of 5 years of civil litigation experienceExperience with California state and federal court procedures required; appellate experience preferredStrong knowledge of discovery and motion practiceExcellent organizational and multitasking skillsStrong attention to detail with high accuracy in grammar and formattingAbility to work under pressure in a fast-paced, deadline-driven environmentProactive self-starter with the ability to work independently and in a team settingProficiency in Microsoft Office 365 (including Excel)Experience with legal software such as iManage, CCC Macros, Best Authority, Adobe Professional, and billing systems preferredStrong interpersonal and customer service skillsWORK ENVIRONMENT:Onsite role based in Oakland officeFast-paced, collaborative legal environmentMay require overtime to meet deadlines and business needsBENEFITS:Medical, Dental, and Vision Insurance401(k) Retirement PlanHealth Savings Account (HSA) & Flexible Spending Accounts (FSA)Paid Time OffProfessional Development OpportunitiesAdditional firm-sponsored benefits
