Administrative Assistant

Position OverviewWe are seeking a dependable and detail-oriented Administrative Assistant to support the daily operations of a busy real estate team, Hom Guru Team. This role focuses on administrative coordination, listing and transaction support, CRM management, marketing assistance, and general office organization. The ideal candidate is highly organized, comfortable managing multiple tasks at once, and able to follow established systems and checklists to keep operations running smoothly.Key ResponsibilitiesAdministrative SupportManage calendars, scheduling, and remindersRespond to emails and general inquiriesPrepare paperwork, folders, and client materialsMaintain organized files, documents, and systemsManage signs, lockboxes, and office suppliesAssist with meeting preparation and team updatesProvide local field support such as lockbox pickups and open house sign setupListing SupportPrepare pre-listing paperwork and collect property informationCoordinate photography, staging, and vendorsEnter and update listings in MLSUpload documents, photos, and disclosuresSet showing instructions and prepare open house materialsTrack showing activity and feedbackAssist with seller updatesCommunicate with agents, vendors, and HOAsTransaction SupportAssist with contract-to-close tasksUpload and review documents for completenessTrack deadlines and required itemsCoordinate with agents, clients, lenders, attorneys, and vendorsCRM & Follow-UpAdd and update contacts in CRMAssign follow-up tasks and remindersMaintain pipeline notes and status updatesSet post-closing follow-upTrack past clients and referralsMarketing & Operations SupportPost listings and updates on social mediaAssist with flyers, email announcements, and marketing materialsUpdate listing platforms and websiteHelp with client events and mailersMaintain vendor and contact listsAssist with special projects as neededOther QualificationsHighly organized and detail-orientedAble to manage multiple responsibilities at onceStrong communication skillsComfortable using technology and online systemsWilling to follow processes and learn team systemsReal estate experience requiredPreferred experience with:Proficiency in Follow Up Boss, Canva, and DocuSignAbility to run campaigns and marketing plans for listingExperience with Google Workspace (Docs, Drive, Forms, and Sheets)Marketing experience across Social Media, LinkedIn, and other platformsGeneral technology savviness, if a task is done more than twice they must figure out a system/automated process around it.ISA calling experience
