AZTEC MUNICIPAL SCHOOL DISTRICTJob DescriptionHigh School Registrar/Records Administrative AssistantJob SummaryServes as the secretary responsible for registration, student records, transcripts and master scheduling issues.Reports To: PrincipalQualificationsHigh School Diploma or equivalentDemonstrate Communications SkillsDemonstrate Public Relation SkillsDemonstrate Organizational SkillsDemonstrate Computer SkillsAbility to Perform Essential Job FunctionsAbility to Perform Job Task RequirementsMust complete a finger-print background checkDesired QualificationsKnowledge of and experience with computer programs and the use of Power School attendance and data programsBackground in receptionist dutiesKnowledge of and experience with Microsoft Office applications (Outlook, Power Point, Word, and Excel)Better than average recommendations from previous employers and/or other professionals familiar with the applicant's personal characteristics, academic achievement and workplace performanceFive years Experience (Related)Knowledge of Power School and Power TeacherKnowledge of Ivisions, Click Scan, Edgenuity, School Office ProSchool MessengerKnowledge of Data Driven Instructional Practices and Professional Learning CommunitiesEssential Duties and ResponsibilitiesServe as the main secretary responsible for student records for past and present studentsProvide secretarial functions for the Administration and StaffMaintain updated and accurate student recordsMaintain cumulative files for past and present studentsAssist principal and counselors in the overall scheduling and master scheduling processAssist with the student registration scheduling and registration processAssist in the preparation of student transcriptsCompile and prepare report cardsWork closely with teaching staff on deficiency reportsPrepare state reporting documents as required by administrationAssist employees, parents and students with inquiries and concernsCreate and input new course offerings into the computerAct as the main contact for the STARS reporting systemWork with all parents and students on the process to check in and out of schoolAnswer the telephone, take messages and send faxesWork with the counseling department closely on issues relating to scheduling and master schedulingScreen calls for the Principal and other administrators in the officeWork with substitutes at the school when they report for their assignmentEnter journal entries into the accounting systemWork with parents and students on the enrollment and disenrollment processAssist the counseling department with scheduled appointments and the scheduling process as neededFollow oral and written directionsAny and all other tasks as assigned by the Principal or his/her designeeCalculate and distribute ineligibility GPA reportCalculate Tiger Pride GPA reportManage all state and college testing materials when they arrive at AHS.Assign teachers and create room lists for all state testing datesManage all Power School master user scheduler dataSupervisory ResponsibilitiesThis position supervises the following positions: NoneConfidentialityDue to the sensitive nature of this position and access to financial information, the highest degree of confidentiality is required.Qualification RequirementsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
