Client Care Coordinator

Armstrong Family Counseling is seeking a highly organized, professional, and client-focused Client Care Coordinator to serve as the first point of contact for our practice. This role is essential to ensuring a smooth, efficient, and welcoming experience for both clients and clinicians. This position goes beyond a traditional front desk role. The Client Care Coordinator plays a key part in managing client flow, ensuring accurate documentation and payment collection, and supporting both administrative operations and client communication. The ideal candidate is detail-oriented, proactive, and able to manage multiple responsibilities in a fast-paced environment. Responsibilities Greet and check in clients in a professional and welcoming manner Ensure all required client documentation is completed accurately and in a timely manner Collect payments and maintain accurate client account information Monitor and respond to website chat inquiries from prospective clients Provide clear and helpful information about services and assist with scheduling Support clinicians with administrative and documentation needs Maintain organization of front office operations and workflows Identify and resolve issues proactively to ensure a high-quality client experience Communicate effectively with clients, clinicians, and administrative staff Maintain confidentiality and compliance with HIPAA standards Requirements Strong customer service and communication skills High attention to detail and organizational ability Ability to manage multiple tasks and priorities efficiently Professional demeanor and reliability Comfort handling financial transactions and sensitive information Ability to problem-solve and think proactively Experience in a healthcare, mental health, or customer-facing role preferred What We're Looking For We are looking for someone who: Takes ownership of their role and responsibilities Communicates clearly and confidently with clients and staff Maintains professionalism in all interactions Is proactive and able to anticipate needs Thrives in a structured, fast-paced environment Position Details Full-time In-office position Competitive pay based on experience Opportunity for growth within a structured and expanding practice Why Armstrong Family Counseling We are a growing mental health practice committed to delivering structured, high-quality care.
