Middle School Guidance Secretary
TERMS OF EMPLOYMENT: 12-month secretarial position. Other term as set by the Board of Education in accordance with the New London Public Schools Professional Secretaries' contract.PRIMARY FUNCTION: To assist the Executive Director of Operations with the development of systems and bast practices reaching a high level of operational excellence. This position must be committed to assist the Executive Director of Operations to establish best practices in each of the following areas: School Facilities Maintenance, Facilities Planning, Transportation.TYPICAL DUTIES AND RESPONSIBILITES: This description of the Guidance Secretary is for identification and administrative purposes only. It is not intended to be a complete statement of all duties, which may be assigned or adjusted by the Superintendent of Schools according to varying needs.Acts as secretary/receptionist for the Guidance Department.Carries out typing and clerical duties of the Guidance Department.Does clerical maintenance of cumulative folders.Prepares and forwards transcripts and records for withdrawn students, sends for transcripts and records for incoming students, and keeps an accurate listing of all students applying to technical/private schools for grade 9 by preparing preliminary transcripts for all applicants in December/January and preparing final transcripts for accepted applicants in June.Assists in the registration of incoming students.Assists in processing progress reports, report cards and performing related duties.Assists the Principal with the budget.Collates warning notices.Types all guidance reports to be submitted to the administrative staff, and to local, state, and federal authorities.Sends for students, issues student passes, obtains homework for suspended and absent students, and other such duties to maintain a smooth, efficient office.Assists counselors in the preparation of standardized testing materials and in maintaining an accurate listing of all standardized testing materials, their distribution, and post-testing collection and verification of data.Receives, screens, and routes all incoming calls during assigned time.Maintains computerized students records by entering all pertinent information in the computer, updating addresses, telephone numbers, racial designations, teams, etc.Processing and distributing revised student schedules.Maintaining an updated listing of all special education students and classifications.Manages all pupil enrollment figures and reports.Inputs all attendance data into the student information system including but not limited to daily attendance, tardies, and early dismissals.Keeps an accurate count of absences including daily and monthly tallies. This includes sending notification letters in accordance with the student attendance policy and ensuring the automated telephone calls are made to contact the homes of students with unexcused absences.Supervises and assists in compiling and preparing state and federal report data.Assists the Assistant Principal in preparing the Master Schedule.Process student course requests for the upcoming school year.Produce reports to assist guidance counselors with filling student schedules with classes.Issues student lockers and maintains an accurate list of locker assignments and combinations.Supports the Main Office Secretary as needed.Performs such other related tasks as may be assigned by the principal.Minimum QualificationsHigh school diploma or equivalent; typing proficiency 50+ wpmProficiency in word processing, databases, and general office technologyAbility to maintain records, prepare reports, and communicate effectively (oral/written)Strong collaboration skills with diverse stakeholdersFlexible, adaptable, and willing to learn; construction-related experience preferredPreferred QualificationsBilingualSALARY: in accordance with the New London Public Schools Professional Secretaries' contract.New London Public School District is an Equal Opportunity/Affirmative Action Employer.
