Campus Coordinator
Position SummaryThe Campus Coordinator will provide administrative support to campus-wide operations, initiatives, and events. He/She will support the campus with essential logistical and administrative details for the day-to-day duties of the campus.Essential Duties And ResponsibilitiesThe Campus Coordinator is required to perform a range of duties including, but not limited to:Lead the Administration Components of the CampusExternal CommunicationCoordinate process for ensuring campus phone calls are answered in a timely mannerMonitor and respond to general campus email inquiriesMaintain schedules for recurring pastoral duties, such as Pastor on CallNotify campus Pastoral staff of attendee hospitalizations, deaths, births, etc. Own the distribution of campus mail and process as appropriateSupport the Connections Pastor in the coordination of the weekly processing of completed Connect CardsDraft and send the weekly Campus Update emailChurch DatabaseTake report attendance of components of weekend services and/or events (i.e. Water Baptisms, Worship Nights, Marriage Nights, Women’s Nights, and other special events)Data entry: Support Connections Pastor in the entry of new profiles connected to Connect Cards and Prayer cardsEvent set up: Organization and maintenance of the church calendar in google and PCO as well as registrations.Assist in the member profile update of campus attendees (i.e. Marriages, Deaths, Water Baptisms, Holy Spirit Baptisms, membership status etc.)Internal AdministrationAnticipate and place orders for supplies as needed. (Including, but not limited to: Toner, Paper, SAM’s club /Costco runs, etc.) This may include ensuring supplies are available for special events, campus specific meetings, funerals, weekend services, etc.Print and/or electronically distribute staff prayers lists for weekly staff meeting Schedule and attend occasional staff meetings, including but not limited to, Tuesday morning staff and monthly all-staff.Drive and Coordinate volunteer administrative support as neededProvide administrative support to the Campus Pastor including but not limited to:Support the Campus Pastor, as needed, with scheduling of appointments and managing meeting requestsAssist Campus Pastor with the coordination of a variety of internal and external meetings involving the Campus Pastor, including but not limited to: weekly staff meetings, Deacon meetings, meetings with campus staff and other meetings Pastor wishes to be involved in/host. Assist in overall communication in and out of Campus Pastor’s officeWork closely with CP on management of his email account(s), helping to ensure that responses occur in a timely manner.Respond to calls that come into the church for Campus Pastor. Determine which of those calls need his attention and which can be passed on to other staff members.Handle all administrative duties for events that the Campus Pastor is directly leading. This may include, but is not limited to, Deacon Meetings, Christmas parties, staff outings, guest hosting, etc.Assist in the processing of DeaconsAid in the Management of Campus Operations and LogisticsExecute decisions as needed for set up, tear down, meals, and overall execution of various events occurring on and off campus. (i.e. Weekend Services, Special Weekend Services, Water Baptisms, etc.)Provide administrative support to the Pastoral point of contact for Serve Our Community at your campus. Ensure serving opportunities are scheduled, reflected calendars and that have the appropriate registrations available on our website. Help plan general campus specific (not ministry specific) events such as Serve Day and campus events etc.Coordinate scheduling for weddings and water baptisms, as needed.Oversee and coordinate linen service, if applicableClean and organize the campus as needed (outside of responsibilities of as campus cleaning schedule)Assist with weekend services at the Campus, as needed for special services (i.e. Easter, Christmas, Mother’s Day, Father’s Day, Water Baptism, etc.)Greet and direct visitorsHelp identify problems, find solutions and handle conflicts within the campusBe available for questions from church attendees on any and all ministries provided by the church, connecting them with other staff as appropriate. QualificationsExcellent written and verbal communication skillsAbility to consistently prioritize tasks and adjust to changing prioritiesSkilled in maintaining confidentiality and performing discreetly when necessaryProactive thinking and the ability to anticipate the needs of those around youExceptional attention to detailProficient in Google Suite, preferredEducationA two-year Associates degree is expected; Bachelor’s Degree is preferred. Adequate combination of experience and education will be considered.ExperienceSuccessful candidate should have at least 2-4 years related experience.
