Administrative Assistant

As Suncoast Specialty Structures continues to grow, we are looking for highly organized and motivated candidates just like you to serve a key role as Administrative Assistant. The Administrative Assistant assists and supports other administrative staff as well as installers and subcontractors by performing administrative initiatives and maintaining records. This position requires someone who is comfortable working in a fast-paced environment with strong organizational and communication skills including the ability to multitask and complete tasks according to project timelines. This is an integral position and requires attention to detail. Computer skills are necessary including experience with Excel and Quickbooks. Major Duties and Responsibilities: Purchase Order and pricing data entry and tracking Utilizing our dispatching & schedule management software Returning customers calls as needed and contacting new customers · Document preparation and filing for residential orders · Vendor portal maintenance - purchase order acceptance, completion verification Maintain subcontractor insurance logs · Reception: Answering phones, greeting visitors, and managing mail · Maintain office supplies and equipment inventory · General filing, scanning and document organization Assist in project close out process Office cleaning · Support team members with administrative tasks as needed Requirements: Office administration experience Knowledge of office management responsibilities, systems, and procedures Excellent time management skills and ability to multitask and prioritize tasks Attention to detail and problem-solving skills Outstanding written and verbal communication skills Strong organizational and planning skills Knowledge of accounting principals Knowledge of clerical practices and procedures · Knowledge of construction management principles · Computer skills and knowledge of office software packages Job-Type: Part Time Schedule: Monday – Friday 8:00am – 12:00pm Location: Tarpon Springs, FL Benefits: · Paid vacation days · Paid sick days · Paid Holidays – All Federal Holidays · Flexible schedule · Bonus Opportunities Salary: $15 - $20 per hour, based on experience Minimum Qualifications: High school diploma or GED 2 years of experience in administrative functions Excellent excel and reporting skills Strong written and verbal communication skills (English) Because we are a small company, any additional core competencies are very helpful and desirable.
