This role serves as a central point of communication between clinicians, administrative staff, clients, and leadership while helping maintain a professional, supportive, and confidential environment.ResponsibilitiesAdministrative OperationsOversee day-to-day office operations for the practiceMaintain office organization, workflow efficiency, and scheduling coordinationEnsure front office coverage and support administrative staff as neededMonitor office supplies and place orders when necessaryAssist with onboarding and training of new employees and cliniciansScheduling & Client SupportOversee clinician schedules and appointment coordinationSupport front desk operations including client check-in/check-out proceduresAssist with handling client concerns, scheduling conflicts, and office communicationEnsure accurate and timely documentation within SimplePractice or other EHR systemsMaintain HIPAA compliance and confidentiality standardStaff SupportAssist leadership with recruiting, onboarding, and employee communicationHelp monitor attendance, call-outs, PTO requests, and office coverage needsSupport implementation of office policies and employee proceduresFoster a positive and professional team environmentAssist with insurance verification, billing coordination, and payment tracking as neededCommunicate with billing departments or external vendors when necessaryCoordinate office meetings, trainings, and operational updatesQualificationsPrevious mental health office management or administrative experience is requiredExperience in a healthcare, behavioral health, or mental health private practice setting is requiredKnowledge of HIPAA and patient confidentiality standardsExperience using SimplePractice or electronic health record systems is requiredStrong organizational, communication, and multitasking skillsAbility to handle sensitive situations professionally and confidentiallyProficient in Microsoft Office, Google Workspace, and scheduling systems
