Office ManagerThis role is fully onsite in Bloomfield, CT, five days per week, and the company will be relocating to Suffield, CT later in 2026.About LiquidPiston:LiquidPiston is an advanced propulsion company developing a new class of high-efficiency rotary engines based on a patented X-engine architecture.Focused on delivering compact, lightweight, and fuel-efficient power solutions, LiquidPiston is redefining internal combustion technology for aerospace, defense, and commercial applications.As the company continues to grow and move toward commercialization, maintaining an efficient and well-organized workplace is critical to supporting its fast-paced engineering environment.About the Role:LiquidPiston is seeking a highly organized, proactive, and resourceful Office Manager to oversee and continuously improve daily operations across the company.This role is central to enabling a team of ~50 engineers and staff to focus on core technical work by ensuring that administrative, financial, and operational processes run smoothly.The Office Manager will serve as the connective tissue across operations, finance, facilities, and leadership, owning both front-office coordination and back-office execution.This is a hands-on role requiring strong judgment, adaptability, and the ability to manage a wide range of responsibilities in a dynamic environment.Key Responsibilities:Office & Facilities OperationsOversee day-to-day office operations to ensure a safe, organized, and efficient workplaceServe as primary point of contact for office-related needs, vendors, and service providersManage office inventory, supplies, and purchasingCoordinate facilities maintenance, repairs, and workplace safety complianceOversee facilities support staff and external contractorsManage office security systems and act as an on-call contact when neededHandle incoming mail and general office logisticsManage company vehicle and related logisticsAdministrative & Executive SupportProvide administrative support to leadership, including scheduling, travel, and expense reportingSupport internal and external meetings, including customers, investors, and board interactionsAssist with onboarding, workspace setup, and employee supportMaintain and improve office policies, procedures, and documentationOrganize company events, meetings, and internal communicationsSupervise the front-office representative, greeting visitors and answering phonesFinance, Accounting & ComplianceOwn bookkeeping functions (QuickBooks or similar)Manage accounts payable and receivableTrack expenses and reconcile accountsMaintain invoice and contract documentationSupport financial reporting and board materialsAssist with audits and tax preparationManage insurance policies and renewalsSupport SEC and regulatory reportingAssist with government accounting complianceTrack software licenses and renewalsSupport U.S. Census and required reportingOperations & Engineering SupportSupport engineering teams with operational processesMaintain records and operational documentationAssist with shipping/receivingImprove operational processes and workflowsIdentify gaps and proactively solve problemsLegal & Contract SupportReview NDAs and provide initial feedbackMaintain documentation for contracts and agreementsProcess execution of legal documents and contractsCulture & Organizational SupportFoster a positive, collaborative office cultureServe as a trusted resource for employeesSupport cross-functional coordinationQualifications:3+ years of experience in office management or operationsStrong organizational and multitasking skillsExcellent communication and interpersonal skillsHigh attention to detailExperience with bookkeeping or accounting supportProficiency in Microsoft Office and Google WorkspaceExperience managing vendors and office logisticsSelf-starter with strong problem-solving skillsPreferred Qualifications:Experience in a startup or high-growth environmentFamiliarity with government contracting or complianceExperience supporting finance, audits, or regulatory processesExperience supporting engineering teamsExperience improving operational processesBenefits & Perks:Flexible PTO: We value work-life balance and encourage time to rest and recharge.Health & Wellness: Comprehensive medical and voluntary dental, and vision coverage - you choose what works best for you.Equity Participation: Permanent employees receive RSUs (Restricted Stock Units).401(k) Match: We offer a 401k w/100% matching up to 3% of your salary and then 50% of contributions between 3-5%Career Growth: Ongoing training, mentorship, and learning opportunities to accelerate your growth.Our Culture:At LiquidPiston, we embrace challenges, move fast, and celebrate curiosity.
