Senior Accountant Accounting Manager

Job Description Job Title: Accountant ( Service and Repair Operations) Location:On-site, Odessa, FL Employment Type:Full-timeRole Overview We’re seeking an accountant to manage finances for a small business operating a mix of(subscription billing)andrepair/service operationsin Florida. This role includes full ownership ofweekly payroll in QuickBooks Online (QBO),monthly Florida sales tax filings, and day-to-day accounting.Key Responsibilities Financial Operations ·Maintain and manage all accounting records in QuickBooks Online ·Record journal entries, reconcile bank/credit card accounts, and maintain general ledger ·Manage accounts payable and receivable within QBO ·Perform monthly close and generate financial statements (P&L, balance sheet, cash flow) Payroll (Weekly – QBO) Processweekly payrollusing QuickBooks Online payroll Ensure accurate calculation of wages, overtime, and deductions Maintain employee records, pay rates, and classifications Handle payroll tax withholdings, filings, and payments Reconcile payroll transactions within QBO Ensure compliance with federal and Florida payroll requirements Banking & Deposits Record and managebank deposits in QuickBooks Online Group and match payments (cash, checks, card settlements) to invoices and daily sales Reconcile deposits against bank feeds and payment processors (e.g., Stripe, PayPal) Ensure proper use ofUndeposited Fundsand accurate clearing of balances Investigate and resolve discrepancies between recorded sales and actual deposits Maintain clean audit trail for all depositsSaaS Accounting Track recurring revenue Manage subscription billing reconciliation Repair & Service Accounting Track COGS, including parts and materials Help maintain inventory records and valuationSales Tax Compliance (Florida – Monthly Filing) Calculate and track Florida sales tax ontaxable repair parts and applicable services Distinguish betweentaxable (parts/materials)andnon-taxable (most labor, SaaS)revenue Prepare andfile monthly sales tax returnswith the Florida Department of Revenue Ensure timely payments and avoid penalties/interest Maintain proper documentation for exempt and non-taxable sales Reconcile sales tax payable accounts monthlyTax & Compliance Support year-end tax prep with external CPA Maintain audit-ready financial and tax records Ensure compliance with Florida-specific tax rulesReporting & Analysis Deliver monthly financial reports Provide visibility into margins (SaaS vs repair services) Assist with budgeting and forecasting Identify cost and margin improvement opportunitiesSystems & Tools Maintain Quickbooks accounting system Improve automation for invoicing and tax trackingRequired Qualifications Bachelor’s degree in Accounting, Finance, or related field 3+ years of accounting experience Required: Hands-on experience with QuickBooks Online (QBO)(setup, cleanup, reconciliations, reporting)Preferred Qualifications Experience in both SaaS and repair/service businesses Familiarity with Florida discretionary surtax rules by countyKey Traits Highly detail-oriented and deadline-driven Strong understanding of Florida tax rules Organized and proactive Able to clearly explain financial and tax conceptsSuccess Metrics 100% on-time, accurate monthly Florida sales tax filings Accurate, on-timeweekly payroll processing Clean separation of taxable vs non-taxable revenue Accurate financial reporting and reconciliations Clear insight into business performanceCompany DescriptionWe are a refrigeration company that services mostly businesses in the food service and hospitality industry since 1997.
