Job Posting: Patient Care Coordinator – Maternal and Child Health Position Title: Patient Care Coordinator Location: Queen City Cocoa B.E.A.N.S., 5500 Executive Center Drive, Suite 223 Charlotte NC 28212 Job Type: Contract Salary: Negotiable Job Summary: The Lactation Clinic Patient Care Coordinator provides essential administrative support to ensure the smooth operation of the Lactation Clinic. This role involves managing patient appointments, handling administrative tasks, and supporting the lactation consultants to deliver high-quality care to lactating parents and their infants. The ideal candidate will be organized, detail-oriented, and have a passion for supporting maternal and child health. Queen City Cocoa B.E.A.N.S. (Birth and Breastfeeding Education, Advocacy, Normalcy and Support) is a nonprofit organization dedicated to the safe and equitable care of families in Mecklenburg and surrounding counties navigating the perinatal period. The services we provide are designed to improve overall quality of health and equip families to achieve a more balanced lifestyle by prioritizing their physical mental, emotional, social and financial wellbeing. We provide nutrition counseling, health screenings, lactation and doula care with a focus on perinatal education. Under the oversight of a medical director, our team includes lactation consultants, dietitians, doulas, mental health providers, childbirth and health educators seasoned with over 40+ years of experience combined. We aim to foster optimal birthing and lactation experiences to families during their perinatal journey through personalized support and our empathy centered approach which includes compassionate and culturally appropriate care to BIPOC families. Key Responsibilities: Appointment Scheduling: Schedule and confirm patient appointments for lactation consultations and follow-up visits. Manage and update the clinic’s appointment calendar to maximize efficiency and minimize scheduling conflicts. Patient Interaction: Greet and check in patients upon arrival, ensuring a welcoming and professional environment. Assist patients with completing necessary paperwork and provide information about clinic services and policies. Administrative Tasks: Answer phone calls and emails, providing information, answering questions, and directing inquiries to appropriate staff members. Process and maintain patient records, ensuring accuracy and confidentiality in compliance with HIPAA regulations. Coordinate with billing specialist for insurance verification and processing Office Management: Ensure the clinic is well-stocked with necessary supplies and equipment, placing orders as needed. Maintain a clean and organized front office area and patient waiting rooms. Support for Lactation Consultants: Assist lactation consultants with preparing consultation rooms, ensuring all necessary materials and equipment are available. Facilitate communication between patients and lactation consultants, including relaying messages and following up on patient inquiries. Data Entry and Reporting: Enter patient data into electronic medical record system and generate reports as required. Assist with maintaining and updating clinic databases and tracking patient outcomes. Additional Duties: Participate in clinic meetings and contribute to discussions on improving clinic operations and patient care. Assist with special projects or events, such as community outreach programs or educational workshops. Qualifications: Education and Experience: High school diploma or equivalent; some college coursework or a degree in a related field is preferred. Prior experience in a medical office or administrative role is highly desirable. Experience or interest in maternal and infant health is highly desirable. Skills: Strong organizational and multitasking abilities. Bilingual or trilingual highly desirable Excellent communication and interpersonal skills. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with Intake Q. Ability to maintain confidentiality and handle sensitive information with discretion. Attention to detail and a commitment to providing high-quality customer service. Physical Requirements: Ability to sit, stand, and walk for extended periods. Occasional lifting of office supplies and materials up to 25 pounds. Work Environment: This position is based in a clinical setting with standard and untraditional office hours. Some flexibility may be required based on clinic needs.
