Account Coordinator

We are recruiting for an experienced Account CoordinatorJob duties include but aren't limited to:Gather and compile background research and analysis to support Account Managers and Account Executives in developing client plans and briefsProvide day-to-day administrative support for assigned accounts, including managing communications, handling correspondence, tracking deadlines, and coordinating media placementsMaintain awareness of client activities to provide seamless backup support when Account Executives are unavailableContribute input during planning stages as requested by account leadership or production teamsOrganize and maintain comprehensive client files, including correspondence, approvals, project documents, and industry/competitor informationTrack and update account activity through spreadsheets, ensuring accurate documentation of past projects, work-in-progress, and key deliverablesAssist in preparing status reports, meeting agendas, proposals, estimates, and client presentationsSupport job initiation processes and maintain documentation related to billing, production quotes, purchase orders, and media plansRecord meeting minutes and distribute detailed contact reports to ensure clear and consistent communicationMonitor project timelines and ensure all deliverables meet deadlines; proactively identify and escalate potential issuesProofread copy and creative materials to ensure accuracy and alignment with brand standards and client requirementsEnsure all deliverables follow internal approval processes prior to client review or vendor distributionCoordinate logistics for client meetings, including scheduling, travel arrangements, and event planningServe as a point of contact for visiting clients, ensuring a professional and organized experienceProvide ongoing support to Account Supervisors and cross-functional teams as neededQualifications and SkillsAnalyzing needs and developing innovative solutions.Strong interpersonal skills.
