Project & Service Administrator

Our 75-year-old company is looking for an experienced service company administrator to help us manage our fast-paced office. We need someone familiar with the plumbing/HVAC industry or a similar trade with a few years of project management/administration experience to help oversee our project management, project and service billing, job tracking, project estimating, and contract administration needs. If you're looking to work in a fast paced off with a dedicated team and lots of opportunities, please apply today!Responsibilities:Prepare estimates and proposals with field personnel and project managersTrack project progress and job costsCoordinate with technicians, vendors, and customersAssist with scheduling and material procurementGenerate invoices and manage billing documentationFollow up on permits, inspections, and project paperworkMaintain organized job files and recordsHelp ensure projects stay on schedule and within budgetHelp with service billingHelp build project submittal packagesMaintain project pipelineMaintain subcontractor vendor complianceQualifications:Three years of experience in construction services, administrative support, or project management for plumbing, HVAC, or related tradesExcellent organization, time management, attention to detail, and communication skills are valuableDetail-oriented with strong follow-throughProficiency in computer use and typing. Microsoft Office (Word and Excel) is our main program. Experience with Bluebeam, Procore, or other plan review softwareComfortable using computers, spreadsheets, and dispatch/accounting softwareKnowledge of AIA documentation is helpfulAbility to manage multiple projects simultaneouslyKnowledge of the Philadelphia L&I eClipse system is preferredSolid math skills are neededAbout Company:Adelphia Plumbing and Heating Services is a 3rd generation, 75-year-old business with a dedicated and valued group of employees and a loyal customer base.
