Administrative Assistant- Project Development

A Dallas based medical center is hiring an Administrative Assistant to support their Development team. This is a long term contract opportunity working on site with a dynamic team. Position SummaryWorking closely with Foundation leadership, the Development & External Relations Coordinator provides administrative and project support for a variety of development initiatives. This role is responsible for maintaining inventory, coordinating project logistics, tracking timelines, organizing materials, and assisting with the implementation and follow-up of assigned projects. The Coordinator collaborates with internal partners to support development activities and ensure smooth communication and workflow.This position also attends relevant events and community functions, contributes to departmental planning efforts, and provides administrative support to internal stakeholders to help ensure effective operations and the successful fulfillment of program goals.Key ResponsibilitiesProvide comprehensive administrative support to the External Relations department, including printing, filing, scanning, large mailings, data entry, calendaring, assembling materials, and ordering suppliesCoordinate and support development projects, ensuring timelines, materials, and logistics are well managedMaintain organization of storage areas and oversee inventory of materials for projects and eventsAssist with event preparation, execution, and post-event follow-up, including inventory restocking and reconciliationPrepare correspondence and reports, including those requiring a basic understanding of technical subject matterRespond to routine and non-routine inquiries using established policies and proceduresServe as a customer service resource and solutions provider for potential donors, prospects, and internal stakeholdersRepresent the organization at on-site and off-site events as neededCollaborate with internal teams to support development initiatives and ensure effective communicationContribute to departmental planning and special projectsPerform other administrative duties as assignedQualificationsStrong project management and organizational skills with attention to detailExcellent verbal and written communication skillsDemonstrated ability to manage multiple priorities and meet deadlinesProficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)Customer service mindset with the ability to interact professionally with a variety of stakeholdersAbility to work both independently and collaboratively in a team environmentPreferred QualificationsPrevious experience in development, fundraising, nonprofit, or administrative support rolesExperience supporting events or large-scale projectsWork Environment & ExpectationsAbility to attend occasional evening or weekend events as needed
