Diverse Learner Clerk 2026-2027 (Internal Candidates Only)

- Application Deadline May 4th, 2026 -Diverse Learner ClerkYear-Round, Hourly, Non-ExemptReports to: Intervention & Testing Senior Coordinator, Grow Public SchoolsPosition Summary: The Diverse Learner Clerk provides administrative and clerical support to ensure the effective implementation and compliance of programs serving diverse learners, including Special Education and English Learners. This role manages student records, supports required processes related to identification, placement, state assessments and progress monitoring, and coordinates key meetings and documentation. In partnership with site and program leaders, the Diverse Learner Clerk helps maintain accurate systems and contributes to the overall success and monitoring of students receiving specialized services.Duties And ResponsibilitiesCompliance & Case Management SupportSupport site-level implementation of state and federally mandated processes for diverse learners, including identification, classification/eligibility, placement, progress monitoring, and reclassification/exiting.Coordinate and support required meetings (e.g., case management meetings, IEP meetings, English Learner progress and reclassification meetings) under the guidance of program staff and in partnership with site teams.Assist with monitoring timelines, documentation, and completion of compliance requirements across Special Education and English Learner programs.Conduct routine audits of student records and reports to ensure compliance with program requirements and document accuracy.Data Systems & Student Records ManagementMaintain accurate and up-to-date student records across systems for Special Education and English Learner programs, including data entry, updates, and tracking.Process student record requests and manage the secure transfer of records in accordance with legal requirements.Organize and maintain cumulative and program-specific student files on location and/or electronically, ensuringcompleteness, accessibility, and confidentiality.Compile reports and track data related to student services, compliance, and program outcomes.Assessment & Program OperationsCoordinate logistics for state and program assessments (e.g., ELPAC, CAASPP, Data Day), which may include ordering, preparation, distribution, and secure handling of materials.Support scheduling and coordination of student assessments and related services.Assist in determining appropriate program placement and support plans based on student data, in collaboration with program staff.Provide clerical and operational support for ongoing program implementation, including materials preparation and internal coordination.Family Communication & EngagementPrepare and distribute required family notifications related to student services and assessments (e.g., program placement, progress updates, testing notifications, reclassification).Support family engagement efforts by coordinating communication, workshops, and meetings in partnership with school teams.Assist with outreach and recruitment for family advisory groups and meetings (e.g., ELAC, Coffee & Conversations).Provide bilingual (Spanish) support for family communication, including translation and interpretation, as needed.General Administrative SupportProvide clerical and administrative support to program staff, including document preparation, correspondence, and responding to inquiries.Maintain confidentiality of sensitive student and program information at all times.Participate in training, meetings, and ongoing professional learning related to program requirements and systems.Perform other duties as assigned to support the effective operation of diverse learner programs.Requirement Knowledge, Skills And Abilities High School Diploma or equivalent.Advanced Spanish fluency.Strong oral and written communication skills.Strong interpersonal skills using tact, patience, and courtesy.Strong record-keeping techniques: (to include but not limited to)Ability to organize tasks and complete within desired deadline Ability to work with minimal guidance from supervisor Attention to detail Experience with student information systems, preferably AERIES, SIRASExperience working with English Learners and or students with disabilities in a school setting preferredClerical/Office experience Knowledge of Google Suite and Microsoft Office Programs Ability to travel to multiple school sites/CMO
