This role is ideal for someone with a paralegal background who is also tech-savvy and comfortable working within CRM platforms and internal systems.Position OverviewThe Shared Services & Office Administrator plays a critical role in maintaining the structure, accuracy, and accessibility of key business documentation and administrative systems. This individual will support internal stakeholders—including leadership and in-house counsel—by ensuring processes are streamlined, records are organized, and reporting requirements are consistently met.Key ResponsibilitiesLegal Documentation & Contract ManagementPrepare, format, and update legal and operational documents as requested by leadershipMaintain organized, centralized records of contracts and agreementsCategorize, file, and ensure accessibility of all documentationSupport document tracking and version control to maintain accuracy and consistencyAssist in-house counsel with administrative legal supportGrant Administration & ReportingCoordinate and manage monthly grant reporting requirementsGather, compile, and verify data for grant submissionsEnsure reports are completed accurately and submitted on timeMaintain organized records of all grant-related documentationSystems & Administrative CoordinationManage and maintain internal systems, including KeyCafe access and trackingSupport CRM and administrative platforms to ensure operational efficiencyIdentify opportunities to improve internal workflows and organizationWarranty & Asset ManagementRegister warranties for HVAC equipment and maintain accurate recordsTrack and organize warranty documentation for quick and easy retrievalInventory ManagementMaintain inventory of office equipment and suppliesTrack and manage Greenlink merchandise inventoryCoordinate with internal teams to ensure accurate inventory levelsBilling & Documentation SupportSubmit PandaDoc billing requests for merchandise purchasesEnsure all supporting documentation is complete, accurate, and properly recordedQualificationsPreferred: Paralegal background or experience supporting legal teamsStrong organizational and document management skillsHigh attention to detail with a focus on accuracy and consistencyTech-savvy with experience in CRM systems and digital document platformsAbility to manage multiple priorities and meet deadlinesStrong communication and coordination skillsProficiency in Microsoft Office and/or Google WorkspaceWhy Greenlink?At Greenlink, we value clarity, accountability, and continuous improvement.
