The core responsibilities include being the first point of contact for incoming phone calls and visitors, overseeing office supply inventory, invoice processing, expense tracking, posting bills to pay and payments from customers, and other basic bookkeeping functions to keep the company's records current and organized.ESSENTIAL DUTIES AND RESPONSIBILITIESAnswer incoming phone calls and direct to proper people or departmentsWelcome visitors to the office and ensure a friendly, personal experienceAssist day-to-day office activities as a point of contact in reception areaPrepare and send customer invoices, receive/record payments, and send out surveysRecord vendors bills and record payments in Acumatica, including credit card transactionsPrepare and make bank depositsAssist in ensuring office efficiency by maintaining common areas, handling correspondence, maintaining file systems, supplies, and mailing/shipping packagesAssist with planning activities, meetings, events, and booking travelDemonstrate general knowledge of our garage door products, including their features, benefits, and specifications to effectively respond to phone inquiries and walk-insQUALIFICATIONSAmbitious, inquisitive, helpful, and humble, with a positive attitudeDemonstrated ability to establish and maintain strong relationships with customers and provide exceptional customer serviceAbility to work independently, manage multiple tasks simultaneously, with acute attention to detailExcellent verbal and written communications skillsProficient in various computer software applications, including Microsoft Word, Excel, and OutlookTwo years of administrative or bookkeeping experience, preferred
