This role focuses on the planning and execution of smaller- to mid-sized programs, including welcome events, departmental gatherings, and clinical engagement programs. The Manager will also support the execution of large-scale and executive-level events. This position emphasizes logistics, operational excellence, and client service.Responsibilities:Event Planning and Execution:Manage a portfolio of smaller- to mid-sized events, including welcome programs, faculty and staff gatherings, departmental celebrations, lectures, and recognition eventsDevelop detailed event timelines, production schedules, and run-of-show documentsCoordinate all logistical components, including catering, audiovisual services, rentals, space reservations, staffing, security, and technology needsServe as primary point of contact for assigned departments and internal partners throughout the planning lifecycleConduct site visits and ensure readiness of event spacesProvide on-site leadership and troubleshooting during eventsSupport of Large-Scale and Executive Events:Assist in the planning and execution of large-scale institutional programs, ceremonies, and executive-level gatheringsSupport logistics management, vendor coordination, staging, guest management, and production needs for high-profile eventsContribute to operational planning for complex, multi-stakeholder programsDepartment and Client Partnership:Build strong relationships with departments and administrative units to understand programmatic goals and translate them into well-executed eventsGuide event best practices, budgeting, timelines, and procedural complianceFinancial and Administrative Management:Develop and manage event budgets for assigned programsTrack expenses and ensure adherence to approved financial parametersProcess vendor invoices, contracts, purchase orders, deposits, and honorariaMaintain accurate documentation and provide post-event budget reconciliation summariesVendor and Operational Coordination:Source and coordinate vendors, including catering, audiovisual services, rentals, décor, and printingNegotiate pricing and ensure contracted deliverables are metCoordinate with operational departments to ensure event readinessOffice and Team Contribution:Collaborate with the events team to ensure alignment of standards, processes, and service deliveryContribute to event planning templates, operational resources, and process improvementsAssist with mentoring or guiding junior staff, student workers, or temporary event staffRepresent the events team in meetings with internal partners as appropriate
